This procedure sets out Micrark investments’ arrangements for addressing OHS emergency
preparedness and response.

1.4 Terms and Definitions


 ‘staff’ are all those working under our control

 “we” and “our” refer to Micrark Management

1.5 Responsibilities
The OHS Manager is responsible for all aspects of the implementation and management of this
procedure, unless noted otherwise.

Managers and supervisors are responsible for the implementation of this procedure within the scope of
their responsibilities.

All staff are expected to raise any concerns they have regarding potential OHS emergencies, or planned
responses, with their manager/supervisor.

2 Emergency Preparedness
2.1 General
We have established, implemented and maintain the processes needed to prepare for, and respond to,
potential OHS emergency situations, including:

 making preparations by planning actions to prevent or mitigate adverse impacts arising from OHS
emergency situations

 how we will respond to actual OHS emergency situations

 taking into account the needs of interested parties such as emergency services and neighbours

 taking action to prevent or mitigate the consequences of emergency situations, appropriate to the
magnitude of the OHS emergency and the potential impacts

 periodically testing the planned response actions, where practicable

 periodically reviewing and revising the processes and planned response actions, in particular after
the occurrence of emergency situations or tests

 providing relevant information and training related to emergency preparedness and response, as
appropriate, to relevant interested parties, including all persons working under our control

2.2 Identification of potential OHS emergencies


We systematically seek to identify all potential OHS emergencies, whether they are:

 enterprise-wide emergencies/accidents Such as fires, explosions, floods, etc., or

 emergencies/accidents that may be associated with specific activities, equipment or work spaces
Such as loss of power to specific equipment, failure of alarms or monitoring devices, release of
hazardous materials, serious injuries, traffic accidents, etc.
We monitor the following sources for identifying potential OHS emergencies:

 results of identification of hazards and their associated risk assessments

 abnormal conditions, such as start-up or shut-down, maintenance or installation etc.

 changes to operations, affecting, for example, emergency evacuation routes or access


requirements

 legal and other requirements

 our records of previous OHS emergencies

 OHS emergency situations that have occurred in similar organizations

 information on OHS emergency/accident investigations posted on the websites of regulatory


agencies and other interested parties

We maintain an OHS Potential Emergencies and Responses Register, that lists all the identified potential
emergencies and accidents, associated impacts, reference to response instructions, the
persons/agencies primarily responsible for tackling each emergency, and the frequency of testing the
response procedure.

This register is continually updated as we identify new potential emergency situations, including during
internal audits and management reviews, and widely communicated, including to all those who have
responsibilities for addressing emergency situations.

3 Emergency Response
3.1 General
The following are considered in developing emergency response instructions:

 the type, scale and seriousness of an emergency situation or accident

 the appropriate method for responding to each type of emergency situation

 the actions required to minimize and/or contain consequences

 systems and technologies for monitoring emissions and accidental releases of hazardous materials

 inventory and location of hazardous materials storage


 numbers and locations of people
 critical systems that may impact on OHS
 training for general and emergency response staff

 detection and emergency control measures


 provision of first aid
 medical equipment, first aid kits etc.
 alternate control systems, e.g. containment systems
 evacuation routes and assembly points, including signage

 back-up control systems or monitors


 fire detection and suppression systems
 emergency power sources
 availability of local emergency services and details of emergency response arrangements
currently in place
 legal and other requirements
 previous emergency response experience
 the possibility of mutual assistance between neighboring organizations

 the need for post-emergency evaluation to determine and implement corrective actions

We seek to provide clear, effective and easy-to-follow instructions that provide for a fast response to
OHS emergencies. Such instructions are made widely available, both internally and externally where
external agencies or providers may be involved.

Notices of emergency response instructions (in multiple languages if required) are displayed at points of
use.

When the service of external agencies or providers are required for emergency response, such as
hazardous material contractors, we ensure that suitable contractual call-off arrangements are in place.

3.2 Emergency response equipment


We have assessed the resource requirements for tackling the identified potential emergencies,
including, where appropriate; evacuation, fire suppression, communication, isolation, containment,
shelter, personal protection, and medical evaluation and treatment.

The Senior Management Team ensures that sufficient resources are made available to respond to our
identified potential OHS emergencies.

The emergency response equipment is inspected and/or tested at regular intervals to ensure that it will
be operational in an emergency situation.

Special attention is paid to:

 equipment and materials used to protect emergency response staff

 informing staff of the limitations of such equipment and materials

 training staff in their proper use

3.3 Emergency response training


Managers and supervisors:

 ensure that all staff with responsibilities for emergency response management / supervisory roles
are competent to do so, are listed on the Role Profile Register and receive appropriate training

 ensure that all relevant staff are trained in OHS emergency response and evacuation procedures
and that appropriate records are maintained.

3.4 Periodic testing of emergency procedures


Emergency procedures, where practicable, are periodically tested, results evaluated and, where
necessary, improvements made.

Where the planned response involves external parties, such as Fire Fighters or Ambulance Crews, we
include such third parties in the exercise wherever practicable.

We maintain appropriate records of all such emergency drills and of any issues/actions arising from their
evaluation.

3.5 Reviewing emergency procedures


Emergency preparedness and response procedures are formally reviewed and revised after and also:

 as a result of management of change, corrective action, or preventive action

 following an event that activated the emergency response procedures

 following drills or tests that identified deficiencies in the emergency response

 following changes to legal or regulatory requirements

 following external changes impacting the planned emergency response


When changes are made in emergency response procedures, we ensure that all staff affected are
briefed as to the changes and that additional training is given if appropriate.

4 Records
Records retained in support of this procedure are listed in the appropriate Controlled Records Register
and controlled according to the Control of Management System Records Procedure.
