There are different kind of documents that the tourist and tour guide to prepare or to take care of:
      1. Tour Voucher – prepared by the tour manage and/or the reservation staff at the travel agency.
      2. Passport – is an important personnel travel document for tourists traveling overseas. The
           passport is required to enter and exit a country.
      3. Rooming List- is an important document that should be given to the lodging establishment
           prior to the event because it ensures that each participant has a room to stay in during the entire
           duration of the event.
      4. Confirmation letter with your suppliers - is a letter written to confirm various informal and
           formal activities. A number of such activities pertain to appointments, conferences, events,
           meetings, reservation, resignations and travel.
      5. Tour guides logbook and luggage monitoring sheet – Tour guide log book is a
           record of important events in the management, operation, and navigation of a ship. It is
           essential to traditional navigation, and must be filled in at least daily.
           Luggage monitoring sheet helps to secure the suitcases or other bags in which to pack
           personal belongings for traveling.

                       USE OF ELECTRONIC RESOURCES FOR WRITING
Electronic – defined by the oxford dictionary as an adjective relating activities or processes
mediated or enabled through the use of the computer, frequently by means of telecommunication
links.
Internet – a network of networks which permit computers to communication via a variety of languages
called protocols.
The Resources to which “electronic” applies (in the context of collection development)
include:
    1. Online Electronic Resources – an online e-resources is typically data and educational in
        nature, and support software available online can also be considered a resources. EX. Online
        Newspaper, magazine or television websites.
    2. Websites – Open Access and Full- Text – website – Open Access (OA) refers to free,
        unrestricted online access to research outputs. Online access content is open to all, with no access
        fees.
        EX. Journal articles and books
    3. Websites- Bibliographic – it is a list of works cited from the internet that is included at the
        end of your essay. When you create a bibliography you need to list all of the resources that
        have informed your writing.
        EX. Essay, term paper, dissertation or a book
    4. Electronic Journals – it is a periodical publication which is published in electronic
        format, usually on the internet. E-journals have several advantages over traditional printed
        journals.
    5. Data Files – it is a computer file which stores data to be used by a computer application on

Technical writing - is writing that describes or explains a product, service, or idea to the reader. While
technical writing has some elements in common with essay writing and journalism, it is distinctive from both.
Technical writing can be learned on the job but is more commonly taught in college classes and seminars.
Teaching technical writing involves teaching students its importance, the types of documents produced, and
the objectives technical writers strive for.
TECHNICAL WRITING SKILLS
1. Writing skills
The first and foremost, technical writers are supposed to excel at writing itself. The main criteria of good
software documentation is the clarity of text. This can be achieved only by someone who knows how to write,
how to put the most difficult ideas in simple words.
A good writer usually just knows these things, feels when to use this or that construction, which words
suit best, etc.
All this sounds like some kind of a talent a person either possesses or not. But, in reality, it all comes down to
hard work and practice. Read quality texts more, analyze the word choice there, figure out text structures - you
will be well under way to improving your writing skill. Or, you can also try attending training sessions on the
subject.
2. Ability to Work with Technical Writing Tools
Technology keeps moving forward. Nowadays, everything is about efficiency, teamwork, and being agile.

The number of companies using software for documentation authoring is going through the roof. No wonder -
technical writing tools are designed especially for technical writing, they offer very task- specific functionality
alongside with just being a user-friendly text editor.
3. Research and exploration skills
These skill may concern any tech writer, but, it, probably, affects outsourcers the most.
Working in an outsourcing company means that you have to deal with a variety of client companies you have
never heard of and are unaware of their products.
Writing software documentation under such circumstances is a tough call. Only after hours of thorough
research you can gather enough information on the given field to start with the writing process.
Besides, doing some research is always great even for the area you feel pretty confident about. Remember, we
live in the constantly changing world. So, here’s to double-checking!
4. Being Systematic
Software documentation is a system. Some user guides can get so big and complex and stuffed with help
articles that it is hard to believe that it is a system. Well, maybe, it isn’t anymore. And, that's bad.
First of all, poorly structured documentation ruins user experience as it fails to fulfill its main function
- provide people with easily attainable data.
Secondly, documentation writers suffer, as well. When there’s no system it is really hard to maintain the user
guide further.
So, a good technical writer is the one who always plans the documentation structure in advance and never makes
a mess hoping to clean it up later.
5 Critical thinking
Critical thinking is a broad term. And, also, it seems to be one the most needed skills for a tech writer.
Basically, critical thinking can be explained as the ability to make reasoned and clear judgments.
This concept includes gathering information, analyzing and systematizing it. Just being systematic is only a small
piece of the whole critical thinking story.

Typing - It is the action or skill of writing something by means of a typewriter or computer.
                                      Basic Keyboarding Skills
    1. Keyboarding Position
Keeping your hands positioned correctly proves crucial when typing. When at rest, your hands should be
on the home row, with your left fingers on the "A" through "F" keys and your right fingers on "J" through
the semi-colon. From this position, it is easiest for your fingers to reach the other keys with a minimum
of movement, and on many keyboards, the "F" and "J" keys have tiny ridges that you can feel with your
fingertips as a reminder. As you learn the key position, you can focus on typing without looking at the
keys. It may help to quietly say the name of the key as you type it.
    2. Keyboard Shortcuts
Keyboard shortcuts keep your hands on the keyboard, instead of reaching for the mouse, saving you
time as well as reducing strain on your hands, fingers and wrist. With keyboard shortcuts, you can
quickly access the "Start" and "Help" menus, format text, save documents, search, access file menus
and select, cut, copy and paste text. For example, "Ctrl-C" copies highlighted text and "Ctrl-V" pastes
the text.
    3. Practice, Practice, Practice
Regular practice -- by writing emails, letters or essays on your computer -- will help you hone your
keyboard technique. Typing in an online or offline personal journal on a daily basis also keeps your
skills sharp. The numbers above the letters and the numeric pad each have advantages, depending on
what you're typing; you can retype documents, especially those with numbers and symbols, for an extra
challenge.

                       Electronic File Handling (Saving, Copying, Printing)
An electronic documents is any electronic media content that are intended to be used in either an
electronic form or as printed output. Originally, any computer data were considered as something internal
— the final data output was always on paper. However, the development of computer networks has made
it so that in most cases it is much more convenient to distribute
electronic documents than printed ones. The improvements in electronic visual
display technologies made it possible to view documents on screen instead of printing them (thus
saving paper and the space required to store the printed copies).
Saving- it is used to save your work which is newly created by you.
Copying- It refers to duplicating a section of a document and placing it in a buffer (sometimes called a
clipboard).
Printing - It refers to produce (books, newspapers, magazines, etc.), especially in large quantities, by a
mechanical process involving the transfer of text, images, or designs to paper.

When one purchases travel products, sourcing of information is very important. The availability of
different sources of information – both traditional and new media sources – helps the consumer arrive at
a good decision. As a sales person, one should be updated on all new information on one’s products and
services, as well as that of competition. The ability of one’s customers to find information by themselves
anymore of one’s services. Also, with how fast information in the Internet changes, there is a need to
keep pace and be updated at all times. This section discusses the sources of information one may use.
TRADITIONAL SOURCES OF INFORMATION
  1. Industry People – industry experts such as travel agencies and tour operators, as well as
     hotel sales representatives and travel bloggers are credible sources of information.
  2. Talking to other people – aside from industry experts, other people who may not be in the
     industry but have a wealth of experience in travel products such as frequent travelers can be a rich
     source of information.
  3. Brochures – property and product brochures are printed documents that provide information
     that come from the service providers themselves. A brochure provides specific product
     information such as location, special features, photos, and testimonials.
  4. Flyers- simpler and cheaper forms of printed documents than brochures. Often, it is a one-
     page sheet that has brief information that would help create interest about the product
     offering.
  5. Films and Documentation – audio-visual presentations such as films short documentaries
     are also good sources of information. Films using specific destinations for its location shoots
     are effective ways of promoting a destination.
  6. Newspapers and Magazines - information about existing sales promotions and
     current events are spread to the public through newspapers and magazine.
  7. Billboards – huge billboards can be seen in highly-populated areas in the Philippines. They
     are good sources of new information and can instill high recall for prospective consumers.
     Billboards are designed to be noticeable; hence, the use of photos and big fonts. Information is
     brief and limited.
  8. Television – still has the power over a huge number of people. It creates a visual appeal of the
     product and generates positive emotions from its viewers.

The presence of the Internet has allowed consumers to access information in a greater degree. People are
now faced not only with traditional ways of sourcing information, but also with more ways to source
travel information.
Digital media also allow consumers to source information directly from suppliers and manufacturers. New
media also allow consumers to communicate with other customers through blogs.
