I. INTRODUCTION
Hilton Center of Excellence UAE ("Hilton CoE”) on behalf of WALDORF ASTORIA RAS AL
KHAIMAH (the "HOTEL") is requesting proposals for FULL COMPREHENSIVE ANNUAL
MAINTENANCE CONTRACT SWIMMING POOL WITH COMPLETE OPERATION PPM & AMC
FOR 3 YEARS. in the Hotel. Specific services required are outlined in the Scope of Work section
of this document. CoE is soliciting quotes on behalf of HOTEL, and all terms and conditions,
guidelines, and provisions stated throughout the document apply to the HOTEL and HILTON
and its subsidiaries, affiliates, partners, and joint ventures and to each of their officers,
directors, agents and employees (collectively, “Hilton”), as well as to any of HILTON’s trade
names, trademarks, service marks, or logos. This document provides general information
regarding required services, supplier selection criteria, and response guidelines.

II. SCOPE OF WORK


For the purposes of this bidding event, the selected supplier(s) will be required to for for FULL
COMPREHENSIVE ANNUAL MAINTENANCE CONTRACT SWIMMING POOL WITH COMPLETE
OPERATION PPM & AMC FOR 3 YEARS at the specified level of service with competitive
commercial arrangements. We intend to contract with a partner(s) capable of providing such
services.

Please see the item list in the Coupa RFQ Items & Lots Section for which quotation is
requested. You may add your pricing in this section, also please complete all the relevant
details on the attached sheet.

III. DURATION OF AGREEMENT


The vendor is expected to supply, install, commission and hand over the system to the Hotel in
4 months maximum from the time of award of the Purchase Order.

IV. RESPONSE TIME FRAME


Please see the below outline of key dates and deadlines related to this sourcing event. Dates
are subject to change at Hilton’s sole discretion.
 Event issued to respondent: Wednesday, 1st November 2023.
 Ask Hilton! Deadline (Respondent to submit clarifying questions to HSM through the
Coupa Message Board): Friday, 3rd November 2023 before 4 p.m. UAE time
 Hilton Responses to Questions: Monday, 6th November 2023.
 Final Deadline for respondent to submit response: Friday, 17th November 2023
before 6:00 PM

IV. GENERAL INSTRUCTIONS


You are asked to base your response on the information contained in this document and in
the Coupa Sourcing Event. All responses must be submitted through this online sourcing
event. Responses in any other format, or through any other means, will not be accepted. If
there are discrepancies between this document and the Coupa Sourcing Event, the Coupa
Sourcing Event takes precedence.

Questions
Please use the Hilton Sourcing Event Q&A Template to ask any clarifying questions regarding
this event and its contents. All templates must be submitted via the Coupa Message Board on
the bottom left of the event by the Ask Hilton! deadline. A full list of all Questions and
Answers will be provided to participants by the Hilton Responses to Questions date. Please do
not disclose your company/identity in your questions.

V. TENDER TIMELINE:
As specified in the tender. However, for any questions or query, please reach out to the
above team before the deadline.

VI. EVALUATION OF PROPOSALS


Responses will be evaluated using the following criteria (not necessarily in the order listed)
a) Best Price
b) Delivery, installation, and handover timeline.
c) Compliance to requested brand and model numbers.
d) Speed of submitting the Proposal and responses.

VII. PRICING
a) The pricing should be based in the on the “Bill of Quantity” (BOQ) provided.
b) Prices should be provided per unit wherever possible and shall be inclusive of all
charges, including shipping and delivery.
c) Delivery should be made to the Hotel at times as agreed with the Hotel.
d) The Service Provider should invoice directly to the Hotel and Hotels will make
payment directly to the Service Provider as per the agreed terms.
e) Quote should include all additional services/requirements of the Hotels as specified in
the “Detailed Scope of Work”
f) Advance Payments if required shall be provided only against Bank Guarantee.
