General Guidelines
1. A Cover page or title page – You should always attach a title page to your assignment. Use
previous page as your cover sheet and make sure all the details are accurately filled.
2. Attach this brief as the first section of your assignment.
3. All the assignments should be prepared using a word processing software.
4. All the assignments should be printed on A4 sized papers. Use single side printing.
5. Allow 1” for top, bottom , right margins and 1.25” for the left margin of each page.
Word Processing Rules
1. The font size should be 12 point, and should be in the style of Time New Roman.
2. Use 1.5 line spacing. Left justify all paragraphs.
3. Ensure that all the headings are consistent in terms of the font size and font style.
4. Use footer function in the word processor to insert Your Name, Subject, Assignment No,
and Page Number on each page. This is useful if individual sheets become detached for
any reason.
5. Use word processing application spell check and grammar check function to help editing
your assignment.

Assume yourself as the event coordinator working in an event planning organization specialized in delivering
trainings on IT and soft skills. you have been appointed to design and deliver a training event on IT /Soft Skills
to an identified audience. You are required to complete the project within 2 months and the training plan
and resources should be finalized as per the requirement of the client.
You are required to form a group of not more than 6 members in order to carry out the event. The event will
be headed by an event manager/ leader and each group member will be assigned a set of tasks. While
designing and delivering the event,
• the skills required to make the event successful
• challenges faced during the design/ delivery
• Critical evaluation of the problems, challenges faced and the methods used to overcome them
• The need for continuously develop in a professional environment
Need to be thoroughly considered.
At the end of the event, produce an individual report by each member covering the following tasks.
Task 1:
Demonstrate how you are planning to effectively deliver the training event by designing a professional
project plan with following details.
• Roles appointed to group members and an evaluation of interpersonal skills of each member that
justifies the assigned role in the team.

• Evidences to the meetings conducted with the client and the team members and the findings/

1 Executive Summary
This Assignment was created as an individual Assignment for the Higher National
Diploma of Computing. Team A, B, C, D, E and F were assigned to do the training event,
to transfer knowledge about soft skills within 8 weeks. We, the writer's team successfully
conducted the session for D.A Rajapaksa Vidyalaya.

3 About the training event
Three teams were divided in the HND batch 8 to deliver a coaching session on IT/ Soft
skills to D.A Rajapaksa Vidyalaya. As the prefects of D.A. Rajapaksa Vidyalaya, it is
necessary to develop soft skills to improve their life and professional career in the future.
Therefore, the event conductors, writer and team decided to deliver a session about soft
skills. There were four activities that helped to improve soft skills. In the session writer
and the team mainly considered what are soft skills, how they going to improve them.
Also, through activities, prefects were able to find whether they have soft skills or not.
During the event, there were 4 activities. Three activities were planned before the event
and one activity has to be created to manage the time. The activities were “Secret
passing”, “Cup pyramid”, “spaghetti tower”, and “The Wedding”
3.1 Secret Passing
In this event, the students must make one line. Students cannot talk to each other’s. one of
the team members did action to one student who is last of the line. The students have to
memorize the small action and show it to students who stand in front of him/her. While
doing this action other students cannot watch that.
In this activity, the team try to improve communication skill.

3.2 Cup Pyramid
In this event the students have divided into 5 teams each team contains 8 members. Each
team has a coordinator given by the team. Each team has 12 paper cups and 2 rubber
bands with 4 threads attached to each rubber band. The team needs to make 2 pyramids
using paper cups but they cannot touch the cups. The paper cups must touch with the help
of the given rubber bands.
In this activity, the writer and the team try to improve the planning a task and teamwork.

3.3 Spaghetti tower
In this activity, each team has 20 spaghetti sticks, one marshmallow, one roll of tape. The
team needs to build a tower with the help of spaghetti sticks and tape. Finally, the team
needs to stick the given marshmallow on the top of the tower and the tower should not

break after sticking the marshmallow. During this event students had fun and they learn to
plan a task before they started.
In this activity, the writer and the team try to improve planning and resource
management.
Appendix 3: Spaghetti tower
3.4 The wedding
This activity has to be added because the event was going to end too early. So, the writer
suggests this activity. The only material the team has to buy is newspapers. The
newspapers were bought from a shop near to the school. The objective is to dress one
student from each team as a bride or a bridegroom by using newspapers but if a team
wish to dress a bride a boy must represent, if the team wish to dress a bridegroom a girl
must represent.
In this activity, the writer and the team expect creativity, resource management and
avoiding fear to the audience.

4 Different communication styles and formats to design and deliver the training
event.
Communication simply can be defined as an exchange of some ideas to do a task
effectively. So, it is very useful to have a different style of communication to make this
event better. There are 2 types of communication that are used during the planning era
and event day. Those are verbal communication and non-verbal communication.
4.1 Verbal communication
Verbal communication is an action which is help share information between two parties
by using speech. Furthermore, any interaction that use to be made in speech is isolated as
verbal communication.
As the event coordinator, three teams were able to make some verbal communication

discussed what type of session that is going to be held and discussed about the contents
that to add to the letters such as permission letter from the school, permission from the
lecturer etc.
During the event, speakers spoke in confidence because it is necessary to deliver the
points.
During the activities team members were appointed to the groups except the announcer to
make sure the doubts and to explain the activity.
Also, as the event coordinator, it is needed to get permission from the school principal so
the team leader and another team member spoke with the principal about the event that
how the team is going to deliver the contents to the prefects

4.2 Non-verbal communication
Non-verbal communication is which helps to communicate without spoken language. A
coin has two sides same as communication it is necessary to have both non-verbal and
verbal communication to deliver effective communication. There are several
communication styles that the writer and the team used. Below brief explanation contains
what kind of non-verbal communication that used how the team able to use those.

Body language: body language was mostly used by the announcers. Because they had to
deliver some points about soft skills. Body language is an act that helps to deliver the
message very easily to a listener.
WhatsApp Messages: author and the team cannot have a meeting every time so the team
made a group and sent messages to each other. WhatsApp messaging help to save our
time.
Emails: emails are used to send some documents such as permission letters, presentations
to the lecturer to check whether there are any issues to change.
Powerpoint Presentation: powerpoint presentation helps to display briefly what the
announcers going to deliver to listeners.
Forms: As a team, to check their mind about the society gave them a form which includes
some questions about their role models, about their future ambition etc. also as learning
human beings that team needs to know about their mistakes so gave them a feedback
form.

5 Effective time management skills are used to plan the event.
When planning the event, it is necessary to manage the time because everyone in the team
had their works also, therefore, the team had less than two months. So, when the team had
their first meeting tried to organize and prioritize the work.
The writer and the team set goals that they can achieve. First, they had a brainstorming
session about the event how they going to do it. So, the ideas that came from the team
members were written on paper.
According to the Kenneth Blanchard and Spencer Johnson who developed the “SMART”
concept is well helped to manage time. The writer has included how their team used
SMART to manage the time. In the word SMART, each letter refers to a definition.

5.1 Specific
Specific mean when planning a task, it may have sub-tasks same as the training event.
When the team planned the event, they had sub-goals, those goals are specific. For
example, where are we going to do the event? What are the activities going to do? How
we are going to collect resources?
5.2 Measurable
Every goal must be monitored its progress if there isn’t any progress it is just a waste of
time. The writer and team checked every goal. For example, when planning the activities
writer checked every whether the team arranged the items which need for the activities. It
is necessary to have feedback about every goal when managing the time
5.3 Assignable
It is easy when assigning works to team members so it will help to do every work parallel.
In the writer’s team, the team was divided into announcers, activities, refreshments and
paper works. It helps to plan the event in time and manage the item.

5.4 Realistic
Every goal that needs to an event must be realistic or can be achieved due to the given
time frame. The reason is given time is limit. So, it is necessary to manage the time. As
the team coordinator, writer and the team when planning the activities consider the time
that how long that takes for activity and thought about items for the activities can be
bought or not.
5.5 Timely
To achieve a goal, it needs a time period because it helps to motivate every member and
helps to manage the time. The writer and the team set a time period for each sub-goals so
the team can achieve goals easily. Also, the team had 2 months to plan the event.

5.6 Goals and objectives of the project
As the coordinator of the event, the event must be managed in several ways such as time,
team members, etc. therefore, it is necessary to identify the goals and objectives of the
event. According to group members to specify the objectives and goals the team spoke
about the event and noted the goals on a paper. After writing their work. The below work
list help to make prioritize the work. Prioritizing the work helps in several ways, mainly
in time management.

5.7 Professional schedule to plan the event
A professional schedule is a list of activities and deliverables of a project with a start and
end date. As in another way it is a task list of interrelated tasks and dependencies.

5.8 Contingent planning for the event.
Contingent planning is a very important part of an event because, fail of the event can
cause any reason therefore, every possibility must consider when planning an event. The
writer and the team considered this very well. The team planed backup plans for every
move.
Before the event, several problems can be caused for the event. Such as selecting a
school, selecting announcers, making a presentation, selecting activities etc.
When selecting a school there was a contingency whether there any school would be
permitted to do an event due to the Covid-19 pandemic. Therefore, as contingent
planning, the team members spoke with several school principals which are listed down
before. These schools were selected by considering the distance between the school and
the E-soft institute of Kiribathgoda, whether every team member can travel to the school.
As the team planned the team got permission to do the event in D.A. Rajapaksa
Vidyalaya.
When selecting announcers, the lecture asked to do a presentation for the students by
splitting them into groups. The lecturer chose 6 announcers for the event but as a backup
plan, the team had to select another announcer for the event.
Activities are the main part of the event, so the team had to choose activities considering
cost, time and is it suit for the students? According to the above three conditions the team
chose three activities for the event but the writer suggested another activity, because
according to the writer if the team couldn’t do an activity due to any reason there should
be a backup activity. There was a special of this backup activity, this activity does not
need to buy any resources.

6 Interpersonal skills
Interpersonal skills are most important in human life. Interpersonal skills mean how a
person interacts with another person ethically and politely. Interpersonal skills are noticed
in various times such working place, in a group event etc. interpersonal skills are a
combination of personal effectiveness, working with others, use of initiative and
developing negotiation skills. Therefore, a person with better interpersonal skills would
be led to successful goals.
Therefore, in the writer’s team, the team members had various interpersonal skills.
Listening skills: how to interpret both verbal and non-verbal messages sent by others
Emotional Intelligence: it is a skill that able to understand and manage own and others
emotion
Team working: able to work with others by forming a group to achieve a common task
both formal and informal
Negotiation, persuasion and influencing skills: this is a skill that can find mutually
agreeable for the growth of the task.
Conflict resolution and mediation: this is a skill that helps to resolve interpersonal conflict
and disagreements positively.
Problem-solving and decision making: this is a skill that helps to define and solve the
problem to achieve the goal.

6.1 Stakeholder identification
A stakeholder is an individual or a group of individuals that can impact the project. These
stakeholders can be categorized into two parts, internal and external. Stakeholders impact
may affect in a bad way or good way. Every stakeholder in the project won't be directly
involved in the project.
When considering the training event there are internal and external stakeholders that are

7 Challenges and problems during the planning and executing the event
As the coordinator of this event, the writer and the team faced many challenges. When
considering the challenges, these can separate into two parts, during planning the event
and during the event the below table shows the challenges and problems faced by the
team.

7.1 Problem-solving technics that used to plan and execute an effective event
Problem-solving is an interpersonal skill that everyone should have in their lives because
every day everyone performing a task or tasks therefore problems can be faced due to any
reason. So, the problem must be solved and solved quickly. The decision that is taken
could cause different outcomes. The quality of a solution is measured by how fast it’s
taken and the perfect solution for the problem, not an alternative. Therefore, several
problem-solving technics used by the team.
Specifying problems
Problems are generated when there is a difference between what is actual situation and
what is planned. If a person is guided toward a clear objective or goal, it is too much of a
problem to consider the obstacles encountered on his/her path to success. A common
feature is simply a problem that occurs when performing a particular task. Nevertheless,
the big phenomena here are solving the problem.
The writer’s team faced several problems in doing such an event during the Covid-19
pandemic. So, the team try to convince principals in a different school to take permission
to do this event. As a result of the team’s dedication, D.A. Rajapaksa Vidyalaya was
permitted to do this event to their Board of prefects.
Also, some methods can be used and used by the team to solve problems and challenges.
7.1.1 Brainstorming
Brainstorming is gathering different ideas and thoughts on one main topic through
discussion with team members. This is the most common method used by every group
when the group met with a challenge. Brainstorming is an informal method to solve
problems but it helps to find new ideas, opinions and thoughts for the event. These
meetings or sessions encourage team members thoughts. In a brainstorming session, a
small idea that given by a team member could be a perfect solution for the problem.
Participating in a brainstorming session, every team member felt that they are
contributing to the solution.
The team used a brainstorming session at the very beginning to list down the tasks before
planning the whole event and that helps to prioritise the tasks. Also, the team had another
brainstorming session to plan the budget and to choose the activities. So, the hardest part
was choosing activities. The activities shouldn’t be common, suitable for students and

shouldn’t consume more time. So, the team members gave brand new ideas for the
activities and with the help of the lecturer, activities are selected.

7.1.2 SWOT Analysis
SWOT stands for Strengths, Weakness, Opportunities and Threats. Strengths are the
beneficial factors in the group. Weakness is defined as harmful factors that exist in the
team. Opportunities are factors that bring advantage for the team. Also, threats are factors
that badly impact the team. SWOT analysis helps to find both good and bad aspects that
can affect the team. By analysing this it helps to reduce vulnerabilities and reduce the
chances of failures.
The writer’s team did use the SWOT analysis but the team didn’t list down it. So, in their
meeting, the members spoke about those and critically used those benefits to the team.
This analysis helps to carry out the group tasks in a better way and hold the event
successfully and this SWOT analysis was used for individuals in the team to finish some
tasks in a better way such as making a presentation, modifying activities etc.
The SWOT analysis spoke for the group was helped to take some decisions for the leader.
Also, this affects some team members in a good manner. According to the team’s SWOT
analysis below Analysis was prepared by the writer.

8 Team Dynamics
A team is a collection of several individuals to achieve a common task. Team dynamics
are simply known as the factors that highly affect the performance of the team members.
Team dynamics also depend on how well understanding between team members.
8.1 Roles and Responsibilities of Team B
Working with a team is gives many experiences to life. As the event coordinator, it is
necessary to understand every member to achieve the task at the highest level. To plan
and execute the event every member must work to their fullest potential. Therefore, every
member has a role to play to fulfil the task at the highest level. According to Dr Meredith
Belbin, some roles help to do the event. Therefore, the writer and the team appointed
suitable roles according to Belbin’s theory.

8.2 Evaluation of writer’s role and contribution
According to Belbin’s theory, the writer’s role was Plant. Activities are the main part of
the event. So, the writer suggests some activities that are fun and Can learn from them.
So, the leader and the other members agreed to these activities. During the event, the
event was going to end soon. As a plan of the team, the writer suggests an activity called
“The Wedding”. The material that the team needs to buy is newspapers. There was a
newspaper seller near to the school it was a great opportunity to create another activity for
the event.

8.4 Tuckman’s theory used on the event
To get an idea about the Team dynamics of team B Tuckman’s theory is considered. It
contains five stages about how a team develop.
• Forming
• Storming
• Norming
• Performing
• Adjoining
8.4.1 Forming
This stage is simply known as Orientation. The team that builds with individuals are
unknown to each other in this stage. For Team B this stage is not important because all
the members were well known to each other. In this stage, every team spoke about their

8.4.2 Storming
In this is stage reality and difficulty of completing the task affect every member. So, that
will come up with certain clashes of opinions among team members and can question the
leadership of the leader. In this stage, the team members attempt to raise them in the team
and establish their position. As a newly formed team, the team leader reminded every
member that disagreements are normal among team members and every decision must not
take by only one person. The decisions must discuss.
8.4.3 Norming
During this stage team members will appreciate other members decisions and opinions
and the team start to settle into a groove. In team B writer’s ideas that given for activities
are appreciated accepted by the team members.
8.4.4 Performing
When a team reaches these stage members are confident in their work, they can work
without supervision and every member has a good view of the project. Team B reached
the performing stage very well. Every member in the worked with their full potential

8.4.5 Adjourning
This stage where team get dismiss after the project. This stage also known as mourning
because team members have grown close and feel loss about the experience.
8.5 Leadership qualities that writer has
Leadership qualities are not only for a leader but also every person must have in their life.
Without these qualities a person cannot fulfil their personal life or professional life.
8.5.1 Patience
Leader can face for many challenges such as questioning the leadership, team members
will escape their job etc. for every challenge that face by the leader must be patience. It
will help to take correct decision.
8.5.2 Transparency
This a good leadership Quality that writer has. This creates a good image about leader and
his/her work. During the planning writer shares everything with the team mates.
8.5.3 Confidence
Leader must confidence in everything during the task. It will make a very good strength
to team members to continue their work. There may be any failures but the leader must
turn it into a strength.
8.5.4 Continuing professional development plan
Continuing professional development (CPD) helps to maintain, update and gain
knowledge about skills needed for the writer’s professional role. Continuing development
is an extremely important investment in writer’s professional path. Benefit of making
CPD plan is not only for the writer but also for the team members.
