Fleet Management
The fleet management module should be the same for both Al Sham Build and Al Sham Stone as fleets for
both companies are managed by a the same management.
Vehicle Categorization
The Vehicles in the company should be categorized into the following categories:
1. Car – Sedan
2. Car – Suv
3. Minibus
4. Medbus
5. Bigbus
6. Light Pickup Truck
7. Medium Pickup Truck
8. Heavy Pickup Truck
9. Skid Steer
10. Backhoe - JCB
11. Excavator
States
There will be 6 states for the Vehicles as can be seen in the screenshot below.
1. New Request: A request for the a new vehicle.
2. Orderd: A Vehicle that has been ordered to join the fleet but has not yet joind.
3. Active – Company Owned:
4. Ongoing Maintenance / Repair: Vehicles which have ongoing maintenance and therefore are not
active and cannot be used.
5. Reserve: Avialable company vehicles which are in reserve condition (not being used)
6. Decommissioned Vehicles: All the previous company vehicles should be placed in the
decommissioned vehicle state.
Tags
Add the following tags:
- Purchased: Company Owned Vehicle
- Rental: Rented Vehicle
Services
1. Instead of the “Date” field, add a “Start Date” field and an “End Date" field as the service usually
takes several days.
2. The Odometer Value should automatically display the value inputted on the Odometer section from
the last day.
Contracts
1. RTA Vehicle License
The contracts feature will be used to moniter the RTA vehcile license renewal. Therefore, a
contract will be added to each vehicle in the
2. Rental Contract
The rental contract will also be added to the contracts section.
Odometer
1. We require the Odometer value to update automatically for each vehicle at 24:00 timing. The
Odometer will update automatically by connecting the Odometer reading in the car tracking website
we have.
Data Fields
1. Remove the circled parts as they are not needed.
3. Add the following fields related to the driver.
- Date of Appointment to this Vehicle : This is the date on which the driver was appointed to the
vehicle. It appears on the driver’s history
4. Decommission Date
Add a field called the “Decommission date” only for Vehicles in the decommissioned state. This field should
not appear for vehicles in any other state such as the active state.
Manufactures
Add the Isuzu brand in the manufacturers list.
Drivers
Add a “Driver” category for the fleet module.
This module will divide the drivers into 3 categories:
1. Active Drivers: Employees who are allocated a company vehicle.
2. Reserve Drivers: Employees who have driving licenses but are not allocated a company vehicle.
3. Decommissioned Drivers: Drivers who have been driving company vehicles before but are no longer
working for the company.
When selecting the driver, it should provide an option to display the Vehicle history of the driver. This will
display all the vehicles that the driver has used and the time period which the driver used it before. This
vehicle history feature will act like a the “driver history” feature for the Vehicles.
