FLEET MANAGEMENT MODULE

User interface:
Pop up reminders for any critical event in the system e.g. event trigger from preventive
maintenance module
Real time Tracking of all fleet vehicles, with the ability to track speed and location (using GPS)
Maintenance reports - vehicle wise
Management of historical information per vehicle for an unlimited number of years
Incident management sub-module to manage accidents and break-ins and theft
Inspection of vehicles and spares management sub-module to manage issues like spare tyres,
toolkits, fire-extinguishers and so on
Management of authorized drivers

Maintenance Management:
Monitoring of vehicle repairs
Keeping track of service dates
Storing a database of suppliers
Keeping track of old parts
Costs of repairs per vehicle
Maintenance reports per vehicle showing costs of repairs, items repaired or replaced and so on

Vehicle Management:

Fleet registers of the organization
Facility to update the fleet master data.
Facility to serve as the main entry point for the fleet management system since all data to be
processed originates from this module.
Reporting:
The following are some of the reports to be produced:
Reports per vehicle for every vehicle involved in an accident
Accident reports/Incident reports
Costs of maintenance per vehicle and for whole fleet
Parts Replaced report
Vehicle Master Fleet report
Driver Reports
Vehicle Spares reports

Licence Renewal:

Managing vehicle registration renewals, e.g.: When a vehicle is 3-4 months from its renewal
dates, the system automatically triggers a notice to start preparing the licence renewal
procedures.

Vehicle Tracking: (Optional)

Vehicle tracking should be GPS-based using information transmitted via satellite and allows
tracking of vehicles in all forms of terrain.
Once vehicle location, direction and speed should be determined from the GPS components,
additional tracking capabilities transmit this information to the fleet management software
application.
Methods for data transmission include both terrestrial and satellite.
