Keywords:

The purpose of the project was to organize the process of monitoring or retrieving the lost

and found items with the vicinity of Saint Vincent College of Cabuyao. The researchers utilized the

experimental method using survey questionnaires. These were distributed among the students of

Saint Vincent College of Cabuyao.

There are total of sixty (60) respondents who participated and answered the survey that the

researchers distributed using the google form.

CHAPTER I

INTRODUCTION

1.1 Project Context

Typically, the institutions process the retrieving of lost and found items just by referring to

the school officials. Though the method seems complex, it is one strategy that is employed at

practically all schools.

Campus is a wide area with many buildings, like our school St. Vincent College of

Cabuyao. People within the school premises often lost their belongings and will have a hard time

finding or retrieving it. The school employ the conventional way of retrieving the lost items by

referring to the school nurse. On this way, they are to go to the clinic and check if their lost item

is there. This method is such a hassle way for them, people who have lost their property will walk

to the clinic just to see if the item is there, and there are also the instances where the item is not

there.

Therefore, an automated method will help solve these problems. In response to the issue,

the researchers proposed a project the might help the people in the school when their item or items

are lost. Moreover, Digital Lost and Found Monitoring System in St. Vincent College of Cabuyao

was proposed to easily resolve the issues.

1.2 Purpose and Description

A digital lost and found system for students who have lost an item for St. Vincent College

of Cabuyao. Managing the items manually today can be difficult. With so many students who may

lost an item, keeping track on the item and retriving it could be demanding.

To address the issue, the proponents developed a digital lost and found system for the

students. The system organizes the process of monitoring and retrieving the lost and found

items.The majority of retrieving lost items requires the people who have lost their property to go to

the clinic.

The following are a few issues with method:

1. How do you retrieve your lost item?

2. How often does the item is surely there?

3. How often does the item is not there?

1.3 Objectives

1.3.1 General Objectives

This “Digital Lost and Found Monitoring System” is to make the retrieval of lost

items be faster and to help the school in managing and monitoring the list of items.

1.3.2 Specific Objectives

The proposed system aims to:

1. To create a system that will serve as a database for searching lost items.

3. To create a system that will organize the process of returning lost items to

their rightful owner.

1.4 Significance of the Study

The proposed Digital Lost and Found Monitoring System for St Vincent College of

Cabuyao will be significant for the following:

St Vincent College of Cabuyao. The success of this project will benefit the

Saint Vincent College of Cabuyao by having a systematic way for students

or staff of retrieving the items that had lost or to report their lost item.

School Nurse. This project will provide a huge help for the school nurse by

making the task more organize and accurate.

Future researchers. This study will give an aid to the future students that

will take study with the same topic.

1.5 Scope and Delimitations

1.5.1 Scope

This study focuses on digital lost and found monitoring system on St. Vincent

College of Cabuyao that could serve as the database for properties that has been lost or

found.

1.5.2 Delimitations

This study also has limitations. The study doesn’t include the following features as:

a. The system will only be applied on St. Vincent College of Cabuyao.

b. The system will not be responsible for lost items that is not posted on the

system.

c. The system will not be responsible for properties lost outside the school

vicinity.

d. Certain users will not be able to post money.

THEORETICAL FRAMEWORK

2.1 Review of Related Literature

This section presents the relevant literature and studies that the researcher considered in

strengthening the claim and importance of the present study.

2.2 Local Studies

According to Adriano Soriano (2023), a lost and found management system ensures

accountability, transparency, and coordination in retrieving, storing, and disposing of items found

within the premises.

Based on Cebu Technological University, BSIT (2022), the lost and found platform aims

to provide an efficient and hassle-free method for users to claim their lost property, ensuring their

satisfaction and reassurance.

According to Erwin Castro et al. (2022), loss of belongings is a concern for students, who

often disregard notices. Advanced technology can help track and manage records. The system will

increase awareness, provide accurate data, and improve the manual system about the lost and found

items.

According to Jezreel A. Batara et al. (2023), the Lost and Found App will let students and

staff members report and track lost and found things on campus because posting the items on

Facebook is messy and unstructured. For reporting and tracking lost and found items, the system

offers a more organized and user-friendly manner. Users can quickly report lost property, give

thorough descriptions, and get the property back.

According to Justn Raniel D. Pascual and Angela Louise A. Tomas (2021), students and

faculty must rely on unofficial communication channels and message boards to report missing

persons in the hopes that someone will come forward. Many losses are consequently never

retrieved, forcing rightful owners to replace them. With the help of the the system, ttudents, faculty,

and staff could report missing items using an online portal or a specific physical location under the

lost and found system. The system would also make it easier for the college to store and handle

the items, allowing them to be returned to their rightful owners. A more efficient system could

support the development of a secure and well-organized environment.

Based on tagmefy (2023), loss of property can occur due to forgetfulness or short-term

inability to keep belongings safe. Tagmefy helps prevent such situations by assisting in finding

lost and found property in the Philippines. The registration process is free, simple, and fast,

allowing users to select categories, add pictures, and descriptions, with a smart search agent

displaying relevant matches.

According Mark Anthony L. Dimaano (2022), the study aimed to develop a web-based

lost-and-found system for University of the Philippines Diliman students, addressing issues like

lack of knowledge, difficulty tracking lost items, and difficulty in communicating with the finder.

The system allows students to report and track missing items online and communicates with the

university's student information system.

Legazpi City should be developed in collaboration with public transit operators, ensuring ease of

access, reporting, and tracking of lost items.

According to Francis De Leon (2022), the lost and found management system aims to assist

campus students in quickly and effectively locating missing items using a user-friendly interface,

with strict security measures to prevent misuse, including limiting access to the main database.

Based on "Development of a Web-Based Lost and Found System for University of the

Philippines Diliman College of Engineering and Industrial Technology 2019," the UP Diliman lost

and found system is a user-friendly system that streamlines the process of reporting lost items,

making it easier for students to locate their misplaced belongings and improving transparency in

the university environment.

manual process of organizing and searching for lost items, benefiting both staff and students.

According to Hang Zhao & Shuangyun Peng (2018), the integration of location service and lost-

and-found models has made the process of retrieving lost property more efficient and faster for

users.

According to Nur Fatiehah Iylia Binti Muhamad Ilias (2020), the lost and found items

system assists students in managing their lost items effectively.

According to Saman Ali & Atiya (2023), the lost and found management system is crucial as it

allows users to locate and retrieve lost properties online, saving time and cost.

Sciences (2018), the project aids students and faculty in locating lost items, maintaining an

authentic portal for user information and tracking lost and claimed items in its database.

According to Mohammad Umair Shaid (2021), The application, designed for university students,

faculty, and visitors, features an attractive GUI for tracking lost items, focusing on the user who

lost them.

According to Chinedu Eze (2019), the lost and found system allows users to report missing

items without issues, with emails sent for confirmation and notification, ensuring all system

components function properly.

Based on Lost and Found Information System (2021), the lost and found system facilitates

the identification, tracking, storage, and return of missing properties, enhancing customer

satisfaction through an efficient and hassle-free online claim process.

Based on iNetTutotor (2021), the Lost and Found System allows members to report lost or

found items, with administrators verifying reports and members uploading valid identity proof for

verification.

Based on repoapp (2023). lost and found software is a technology solution that simplifies

the management and return of lost items, replacing manual processes with a centralized, user-

friendly platform, benefiting both staff and customers.

web-based system that monitors lost and found items that is within the school premises. These are

The operational framework presents the material and methods for the system development.

The materials include the software, hardware, and data requirements analysis, requirement

documentation, design of software, systems, products, development and testing, prototype, plan,

and results implementation.

The purpose of this requirements analysis is to define the software and hardware

requirements for the Digital Lost and Found Monitoring System in St. Vincent College of

Cabuyao. Requirement analysis is a key process that bridges the planning stage of a project with

3.2 Requirement Documentation

3.2.1 Methods

The researchers applied the two (2) approaches in conducting the study. These approaches

were descriptive design which includes interview, survey and observation approach and applying

3.3 Design of Software. Systems, Product or Processes

3.3.1 Software Methodology

This chapter represents the project design, project development, and the

procedure for operation, testing and evaluation. The researchers adapted the

Agile methodology with the use of Digital Lost and Found Monitoring System

in Saint Vincent College of Cabuyao in creating the website. The researchers

came up with this approach for this methodology focuses on the ways of

managing the project by breaking it up into several phases.

Agile software development is a lightweight approach that was proposed to

overcome the convolutional development methods’ limitations and to reduce the

overhead and the cost while providing flexibility to adopt the changes in

requirements at any stage, this is done by managing the tasks and their coordination

through a certain set of values and principles. In this work, a comprehensive review

that outlines the main agile values and principles, and states the key differences that

distinguish agile methods over the traditional ones are presented. (Al-Saqqa,

Sawalha, Abdelnabi, 2020)

Agile is by no means critical of development methodologies developed in the

1970s and 1980s in response to the chaotic and unplanned approaches often used in

the early days of software. 1970 to 1990 was largely when foundational theories and

practices of software engineering came into being. The idea was to equate software

engineering with physical engineering and borrow as much as possible from the

design and building actual. (TECH, 2019)

The Process Steps

1. Requirements - To gather data for the project’s requirements during the

first planning phase, the project’s proponents conducted research and

conducted interviews.

2. Design – On this part, the proponents perform the design, sketch, and

layout for the system they created of the website. Their user interface that

they create is for the admin and user that they will benefit from the system.

3. Development – The development phase will see the start of the system’s

creation, including its feature, functions, code, and design. Two primary

users who are divided in the system’s development process have different

features or content depending on what each user needs.

4. Testing – In testing. The proponents have to check to it that both the

features and the operations of their system are working as intended.

5. Deployment – In this phase, the system is ready to be utilized and errors

have been fixed. Proponents will also check if the required features are

fulfilled in the system.

6. Review – In this final phase, the system is maintained to enhance system

performance and offer system maintenance or preparation.

3.3.2 Use Case Diagram

In the Figure 3.2 above, the use case diagram for user account is illustrated.

The user can access the system and sign in using the account they registered. After

successfully signing in onto the system, the user will have access to the main

function of the system where they can view Items List. Through the Items List, they

can navigate the system to the list of Found Items--which are the items that have

been found and posted in the system. Next is they can view the lost items and lastly,

they can post items that the user lost. The system will also implement guest only,

where they can view lost items without registering an account.

In the Figure 3.3 above, the use case diagram for admin account is illustrated.

The admin can access the system and sign in. After successfully signing in onto the

system, the admin can view all the items that have been lost and found. Then admin

will also see items that users are trying to post in the system, the admin will verify

the item and after the verification, it can be now posted in the system and users will

see the item. Admin can also post an item, archive an item, create account and view

claim tanble.

3.3.3 Context Flow Diagram (Post System)

Figure 3.4 illustrates the pre-system diagram of the Digital Lost and Found Monitoring

System in Saint Vincent College of Cabuyao. In the initial phase of the project, the researchers

came up with the idea of having two (2) set of users--admin and student. Students can view the

lost items posted in the system, they can also register an account in able to experience the full

function of the system. When the student successfully registered an account, they can now report

a found item by posting it in the system. The other user, admin, will be responsible for the

monitoring. They can view students, lost items, post an item and verify the item that the students

are trying to post.

Table 3.5 illustrates the Data Flow Diagram of the system, user will have access to

View Items where they can also claim item. They also function as uploader of an

item onto the system. In the admin account, functions such as Post Item and View

Items are included. Additionally, and exclusively, only admin can verify the post

and claim of an item, the archived items and the printable report.

3.4 Development and Testing

3.4.1 Test Design Execution

Table 3.5 Modular Test Execution Plan

Table 3.5 delineates the comprehensive test plan for executing test design procedures

across each module, assessing the functionality of different user categories, namely Student,

Admin, and Guest. The Student features a Landing Page, Login/Register, Dashboard comprising

Claim Items and Post Items. The Guest Module is limited only to View Item List.

The Admin Module prioritizes Claim Items and Verify Post, with Dashboard comprising

the Archive Items, View Table, Add New Item and Create Account.

Each module is scheduled for testing and evaluation across all user categories in in month

of November in year 2023. This timeframe is selected to gain insights into user perspectives on

the proposed system. Furthermore, it allows for the updating of modules or functionalities based

on the identified needs or objectives of the study.

Alpha Test

The researchers will initialize this test to check if there are bugs or errors in the Digital

Lost and Found Monitoring System. The researchers will also check if the data that the client will

input will be in the database of our system. The functionality of the buttons, check box and other

user interfaces will also be analyzed to see if they are working properly. For the Student page, the

alpha test will check if all the buttons and other tools are working and if there are no bugs or errors

on the page. For the Admin page, the alpha test will analyze if the buttons and their functionality

are working properly it will also check if the data that the client input will be stored on the database

of the Digital Lost and Found Monitoring System.

Beta Test

This is the final test for the Digital Lost and Found Monitoring System. The test will make

sure that all previous bugs and errors from Alpha test have been fixed. The researchers will also

provide actual testing of the posting of an item of the students to make sure that the system is

working properly. For the student page, the researcher will make sure that all the previous bugs

and errors that the first test found will be fixed such as button errors and more. For the Admin

page, the test will also analyze if the database is working properly and also the buttons and areas

of both pages.

3.5 Description of the Prototype

This section presents a comprehensive overview of the prototype for the

digital lost and found monitoring system, highlighting its features and functionalities

designed to improve the lost and found at St. Vincent College of Cabuyao.

3.5.1 Evaluation Procedures

The proponents conducted survey to determine and evaluate the lost and found

system’s web design, web layout, functionality and content. Every aspect of the

system is examined using the survey method to determine whether it still needs to

be improved or is operating as intended by its supporters. In Table 3.8, the supporters

made use of the web development application using the 5-point Likert Scale.

3.6 Implementation Plan

3.6.1 System Architecture

In Figure 3.4 shows the system architecture of the system. The front end, back

end, web server and device layer are all accessible to the users. The device layer is

responsible for managing input and output of the users. User items claimed and

posted are processed in the web server. The front end is in charge for managing user

interactions and displaying user interface.

3.6.2 ISO (System Evaluation)

In Table 3.6 displays the characteristics of a Digital Lost and Found Monitoring System in

St. Vincent College of Cabuyao that will be assessed using ISO 9126-1. This evaluation aims to

confirm that the proposed system adheres to standards and effectively achieves its objectives and

functionalities, as assessed by respondents in relation to system development.

Table 3.6 illustrates the Likert’s Scale Model employed by the researcher to quantify the

conformity level of the digital appointment management system to ISO 9126 standards. Ratings

ranging from four point fifty-one to five (4.51-5.00) signify that users "Highly Accepted" the

system. Ratings within the range of three point fifty-one to four point fifty (3.51-4.50) indicate

that users "Accepted" the software. In the case of ratings between two point fifty-one to three point

fifty (2.51-3.50), users are deemed to have "Moderately Accepted" the proposed software. Ratings

falling within the range of one point fifty-one to two point fifty (1.51-2.50) suggest that users

"Slightly Accepted" the software, while ratings from one to one point fifty-one (1.00-1.51) imply

that users find the software or system "Not Acceptable”.
