Introduction

India has a population of 1.38 billion people, and all need a place to live. Due to the increase in
urbanisation in India, most people are shifting towards apartment-based housing societies. Most
people prefer the apartment system because it accommodates more people in a smaller area. As
our country is developing in technology and digitalisation, housing societies are also becoming
smart by implementing various technologies.

As there is an increase in the growth of housing societies, there is also an increase in the
implementation of technologies for various tasks in societies. Technology in a society can be
very beneficial in solving many problems. Apart from solving problems, technologies can help
make the management of society more efficient and easy. Many societies in this modern era are
using various technologies for automating various society-related tasks.

This project will try to help societies to become smarter and implement things easily and
efficiently. The focus of this project is to design a system that can manage all the society-related
data and connect every society member. This would help the responsible person of the society to
maintain everything efficiently.

Nowadays, most people choose to live in societies as a result the number of people living in
societies is increasing drastically. This causes a major problem in focusing on each person’s
complaints and queries, therefore technology can be used to keep a track of each member’s
complaints, bills and other required information. Technology can also help in informing or
updating society members about any important notice or instructions. All the important data of
society can also be stored digitally which will make it more convenient to access. Amendation,
calculation and deletion of data can also be done easily using technology.

With the help of technology, societies can get connected and can manage everything very
efficiently. This project tries to develop such a system which will help society to become smarter
in the management of various tasks. This project also tries to provide security by preventing
strangers to enter society without any reason. Vehicle number plate recognition is also a common
technology that is already in use. In this project, we will be using vehicle number plate
recognition technology to check whether any unknown vehicle is trying to enter without any
reason and to keep a record of the vehicles entering and leaving the society. In this project, we
are also trying to make things easy for the secretary of society by maintaining all the data and
making it easy to access at any time. Different technologies can together help in developing a
smart and safe society for all.
Rationale

In big housing societies, managing everything becomes a very difficult job for secretaries. In a
society where there is a huge number of people, remembering each member’s complaints and
also managing their maintenance bills etc becomes a difficult job. Apart from this, security also
becomes an important concern in big societies. As the number of society members increases,
keeping a track of their vehicles and also dealing with strangers and members sometimes
becomes a challenging task for security people. Therefore, there is a huge need for maintaining
the data of the society, connecting to the society members, and also managing each and every
society member’s complaints and records such as bills. This brings us to the idea of developing a
system that can perform all of these tasks and assist the society managers, and security staff and
also provide convenience to the society members.

Objectives:

● To store and maintain all the data of the society digitally for easy access and
management.
● To connect all the society members via an application for easy circulation of notices and
updates.
● To allow society members to access all the necessary information of the society and also
to lodge any complaints related to society-related issues.
● To check and keep a record of all the vehicles and people wanting to enter the society for
security reasons.
Literature Review:

Online Housing Society Management System[1] solves the problem of society management up
to some extent by using online management methods like online payments of bills and
maintenance. This was a web-based system which also uses cloud computing. Six major features
are highlighted in this project. Each user is provided unique login details in order to access the
application. The six significant features are maintenance payment, online voting, hall allocation,
notice board, vendor management and meetings.

Implementation of Society Management System: Societales[2] builds an android app for society
management. Features like messaging, filing complaints, receiving or circulating notices etc
were added. Implementation was done using the IDE Android Studio and SQLite database
management system for local storage of the data. This system aims to make official society's
communication system easy simply by an application. It was aimed to reduce the time and effort
that's required for manually communicating with society members.

Automatic vehicle number plate detection and recognition systems: Survey and
implementation[3] implemented number plate recognition problems using technologies like deep
learning. convolutional neural network (CNN) is used to identify and detect several distorted
license number plates in a single frame. Image processing was used to reduce noise from the
image and make the numbers and characters clearly visible on the number plate. This work was
proposed for automatic authenticating verified vehicles and curbing illegal entries.

IRJET- Survey Paper on Housing Society Management System[4] aimed to create a housing
society management system that could make things easy and efficient during emergency times
like the pandemic when no one was allowed to gather in crowds. This model focused on features
like daily notifications, monthly scheduled meetings, updates etc. Apart from society
management features, this also includes features for social interaction. The application consists
of a chatbox, friend recommendation and pandemic tracker. This would help users to find new
friends and avoid loneliness in life.

Automatic Number Plate Recognition System for Vehicle Identification Using Optical Character
Recognition[5] successfully uses image processing techniques for recognising the number plates
of vehicles. It uses image segmentation for locating number plates in the image and OCR
(Optical Character Recognition) for character recognition. The recognised number of the vehicle
is then checked over the database to verify all the details of the vehicle and its owner like the
place of registration, address, etc.

What Is Society 5.0? [6] describes what exactly is society 5.0. It explains the difference between
our current society and society 5.0. It describes how data can be useful in solving various
real-world problems. Using all the collected data can help in automating a lot of stuff. It also
shares the idea of merging cyberspace and physical space.
Feasibility Study:

Society management systems are implemented by many applications but all solve one problem at
a time. They consist of a few features which are helpful in a minimal way. A new application
which consists of all the features which are necessary to manage society is needed.

Our application uses cameras to detect the licence plate of the registered vehicles already being
used in societies. We are enhancing surveillance with the help of our application, and using
computer vision. Our application can be easily accessible by smartphones which are feasible to
use at any time. Our application tried to combine all the technology in one and enhance the
security and management of society easily and smoothly.

For developing this system, technologies like image processing and app development can be
used. These technologies are easy to implement and are easily manageable. We have made sure
that the application is usable on all smartphone devices.

Society in charge or secretary will be given admin privileges in the app itself to moderate and
make changes in the app easily without having to learn any technical skills.

Character recognition technology already exists also certain management apps exist, hence
combining both of them with some new features and making a new system is for sure feasible
and practical. It will certainly be beneficial for society management and connect the entire
society by solving the problems caused due to lack of communication or information.

Methodology:

Many housing societies have a lot of issues and management problems that need to be solved.
Many management applications are already being used that solve some of these problems. The
proposed system tries to combine all of the management problems and solves them all in one go.

Starting with vehicle number plate recognition, the numbers of all society member’s vehicles are
stored in the database which is then used to check with all the vehicles entering. If a new vehicle
is detected then it will not be allowed to directly enter without approval. Computer vision and
image processing technology can be used to locate number plates of cars and to recognise the
characters. Once the characters are recognised, they are checked with the stored numbers of
registered vehicles on the database and then it is acknowledged, whether the vehicle is registered
or not.
In Fig. 1, the flow of the process is represented. From image input to number plate recognition.

The major part of the project is a smartphone application that connects the entire society and
manages some of the most important tasks. Features of this app include approval of strangers by
the members, bill and fund management, notices circulation, sharing important information and
accepting complaints from society members.
