Before the event

Objectives

❏ What is the event type? (Meet & Greet, Conference, Exhibition, …)


❏ What is the event purpose? (Promote ILL, recruit members, debate, …)
❏ For who is the event? (Students, professionals, children, …)
❏ How many people should attend? (1-20, 20-50, 50-100, ....)

Materials

❏ Do I need furniture? (Chairs, table, …)


❏ Do I need a projector?
❏ Is the event outdoor/indoor?
❏ Do I need papers, pens, …?
❏ Contact ILL for support and questions

Administration

❏ Discuss with ILL before creating an event


❏ Do I have ILL authorisation and full support?
❏ Do I have authorisations for my event with the university I represent?
❏ Did I transmit those authorisations to the ILL team?
❏ Did I use the documents related to Photo/Video Rights Use?

Communication

❏ Did I contact ILL to efficiently promote my event?


❏ Did I use my university connections to promote the event within my campus?
❏ Do I need to promote my event even more? (At least twice a week before the event)
❏ Do I need to create a Google Form? Facebook event?
❏ Did I deal with emails and feedback related to my event and reported to ILL?
During the event

❏ Make sure everything is ready on D-DAY


❏ Promote ILL Social Medias and Website
❏ Take a lot of pictures to send to our team
❏ Don’t forget, smiling makes everything better and easier
❏ Contact ILL and the University in case of emergency
❏ Give feedbacks to ILL
❏ Always be respectful
❏ Remain calm and DON’T FORGET TO ENJOY THE MOMENT!

After the event

❏ Give a written report to ILL (Event Report Form)


❏ Make sure everything is back to its place if the University let you borrowed some
materials
