Abstract

There are provided systems and methods for code generation and tracking for automatic data synchronization in a data management system. A user associated with an entity, such as an employee of an organization, may purchase an item utilizing a payment instrument or card provided by the organization. In order to provide proper expense allocation, the organization may require receipt matching and storage per use of the payment instrument. An expense management system may provide digital code generation and output on a corresponding physical or digital receipt so that when the receipt is provided to the expense management system, the codes may be matched to backend data stored by the system. The receipts may be processed by extracting text data from an image of a receipt to determine the codes. The codes may then be used to search a database of codes to match to digital transaction data.

Claims (20)

1. A system, comprising: a non-transitory memory storing ctions; and one or more hardware processors coupled to the non-transitory memory and configured to read the instructions from the ansitory memory to cause the system to perform operations comprising: intercepting, from a network via a network component, card data for an electronic transaction with a merchant device of a merchant conducted using a funding source associated with the system based on network communications over the network by the merchant device for processing the electronic transaction; generating, by an operation of an expense management application of the system, at least one alphanumeric code associated with the electronic ction, wherein the at least one alphanumeric code identifies the electronic transaction with the expense management ation; determining, by the operation, data for a physical transaction record to be generated by the merchant device for the electronic transaction; determining, based on the data and the merchant device, a placement of the at least one alphanumeric code on the physical transaction , wherein the placement enables an identification of the at least one umeric code on the al transaction record by the ; , to the card data by the operation via the network component, the at least one alphanumeric code to the data on the physical transaction record based at least on the placement, wherein the adding causes the physical transaction record from the merchant to include the at least one alphanumeric code when generated by the merchant device; receiving, via the network component, an image comprising a digital representation of the physical transaction record; tracing, within the image, one or more lines of the digital representation of the physical transaction record for the at least one alphanumeric code and text data for the al transaction record; ing a fingerprint se for merchant transaction records, wherein the fingerprint se comprises data placements for the data on at least the physical transaction record; determining, by the operation and based on the fingerprint database, the text data in the image using the tracing and an image processing ion with the digital representation of the physical transaction record; g the text data with stored transaction data for the electronic transaction; and matching, by the operation based on the scoring, the digital entation of the physical transaction record to the stored transaction data for the electronic transaction with the expense management application.
2. The system of claim 1, wherein the at least one alphanumeric code comprises an authorization code associated with sing the electronic transaction and a transaction identifier identifying the electronic transaction with the system.
3. The system of claim 1, wherein the physical transaction record comprises a physical receipt from a point of sale device corresponding to the merchant device, and wherein the image processing operation comprises an optical character recognition process. 1005398534

5. The system of claim 1, wherein the operations further comprise: storing the digital representation associated with the physical transaction record with the stored transaction data in a database for a ss entity ated with the funding source.
6. The system of claim 1, wherein the adding the at least one umeric code to the data comprises one of transmitting the at least one alphanumeric code to the nt device or adding the at least one alphanumeric code to an electronic message.

The system of claim 1, n prior to generating the at least one alphanumeric code, the operations further comprise: determining that the onic transaction complies with an expense policy for an entity ated with the funding source; and processing the electronic ction on behalf of the entity with the merchant, wherein the physical transaction record is generated based on the processing the electronic transaction.
8. The system of claim 7, wherein prior to the intercepting the electronic transaction, the operations further comprise: generating an identifier for the funding source, wherein the identifier is provided to the entity with the funding source; and generating the expense policy with the entity, wherein the expense policy includes data from a receipt matching process associated with a transaction history for the funding source.
9. The system of claim 1, wherein the operations further comprise: allocating the electronic transaction to an expense management category based on at least the text data for the physical transaction record. 1005398534

The system of claim 1, wherein the at least one alphanumeric code comprises one code of a plurality of codes, and wherein the operations further comprise: determining at least one of a merchant fier, a date, or an amount on a receipt, wherein the matching is further performed based on the at least one of the merchant identifier, the date, or the amount.

The system of claim 1, wherein the image processing operation comprises an optical character recognition operation, and wherein the optical character recognition operation utilizes at least one line drawn in association with the ent through the digital entation to determine the text data in the digital representation.
12. The system of claim 1, wherein prior to the ing the image comprising the digital representation, the operations further se: processing the electronic ction with the merchant; and transmitting an electronic message to a mobile device of a user associated with the funding source, wherein the electronic message comprises a request for the l representation.
13. A method comprising: intercepting, from a network via a network ent of a computing system comprising at least one hardware processor, card data for an electronic transaction with a merchant device of a merchant conducted using a funding source associated with the computing system based on network communications over the network by the merchant device for processing the electronic transaction; ting, by the at least one hardware processor using an operation of an e management application of the computing system, at least one alphanumeric code associated with the electronic transaction, wherein the at least one alphanumeric code identifies the electronic transaction with the expense management application; 1005398534 determining, by the at least one hardware processor using the operation, data for a physical transaction record to be generated by the merchant device for the electronic transaction; determining, by the at least one hardware processor based on the data and the merchant device, a placement of the at least one alphanumeric code on the physical transaction record, wherein the placement enables an identification of the at least one alphanumeric code on the physical transaction record by the computing system; adding, by the at least one hardware processor using the operation to the card data via the network component, the at least one alphanumeric code to the data on the physical transaction record based at least on the ent, n the adding causes the physical transaction record from the merchant to include the at least one umeric code when generated by the merchant device; receiving, by the at least one hardware processor via the network component, an image comprising a digital representation of the al transaction record; tracing, by the at least one hardware sor within the image, one or more lines of the digital representation of the physical transaction record for the at least one alphanumeric code and text data for the physical transaction record; ing, by the at least one hardware processor, a database for merchant ction records, wherein the se comprises data placements for the data on at least the physical transaction record; determining, by the at least one hardware processor using the operation and based on the database, the text data in the image using the g and an image processing operation with the digital representation of the physical transaction record; g the text data with stored transaction data for the electronic transaction; 1005398534 matching, by the at least one hardware processor using the operation based on the scoring, the digital entation of the physical transaction record to the stored transaction data for the electronic transaction with the e management application.
14. The method of claim 13, further comprising: ining additional transaction data for the electronic transaction from the text data; and adding the additional transaction data to the stored transaction data.

The method of claim 13, wherein the matching comprises: identifying a plurality of electronic transactions; determining a score for each of the plurality of electronic transactions based on at least one of a transaction date or an amount of the each of the plurality of electronic ctions, wherein the score for the each of the plurality of electronic transactions identifies a likelihood that the each of the plurality of electronic transactions match the text data; and determining the text data from the digital representation matches the stored transaction data based on the score for the each of the plurality of electronic ctions.
16. The method of claim 13, further comprising: performing a fingerprinting of a plurality of merchant receipts using the database, wherein the printing identifies a plurality of placements of a plurality of alphanumeric codes on the ity of merchant receipts, wherein the parsing uses the fingerprinting based at least on the placement of the at least one alphanumeric code on the physical transaction record.
17. The method of claim 13, further comprising: 1005398534 adding at least one of user data for a user submitting the image, a transaction category for the electronic transaction, or the text data to the stored transaction data.
18. The method of claim 13, further comprising: allocating an expense for the electronic transaction to a client based on text data from the digital representation.

A non-transitory machine-readable medium having stored thereon machinereadable instructions able to cause a machine to perform operations sing: intercepting, from a network via a network component of a ing system comprising at least one re processor, card data for an electronic transaction with a merchant device of a merchant conducted using a funding source associated with the computing system based on network ications over the network by the merchant device for processing the electronic transaction; generating, by an operation of an expense ment application of the computing system, at least one alphanumeric code associated with the electronic transaction, wherein the at least one alphanumeric code identifies the electronic transaction with the expense management application; determining, by the ion, data for a physical transaction record to be generated by the merchant device for the electronic transaction; determining, based on the data and the merchant device, a placement of the at least one alphanumeric code on the physical transaction record, wherein the placement s an identification of the at least one alphanumeric code on the physical transaction record by the computing system; adding, to the card data by the operation via the network component, the at least one alphanumeric code to the data on the al transaction record based at least on the placement, n the adding causes the physical 1005398534 transaction record from the merchant to include the at least one alphanumeric code when generated by the merchant device; receiving, via the network ent, an image comprising a digital entation of the physical transaction record; tracing, within the image, one or more lines of the digital representation of the physical transaction record for the at least one alphanumeric code and text data for the physical transaction ; accessing a database for merchant transaction records, n the database comprises data placements for the data on at least the physical transaction determining, by the operation and based on the database, the text data in the image using the tracing and an image processing operation with the digital representation of the physical ction record; scoring the text data with stored transaction data for the electronic transaction; matching, by the operation based on the scoring, the digital representation of the physical ction record to the stored transaction data for the electronic transaction with the expense management application.
