Training Activity Week 1 Database

This document presents the case study of Mr Green Tea and how to establish a database project for the company. The initial requirements are identified, such as maintaining product data, sales, and reports. The stages of the information system lifecycle are applied, including needs analysis and the design of a relational data model. The ultimate goal is to help the company improve its management and future projection through a system that facilitates data handling.

Introduction

In this document, we will present an overview of the Mr. Green case study.
Later we will use this case to illustrate how to establish a project.
Databases.

Data collection has been conducted through YouTube video.Company of

Ice Creams - 'Mr. Green Tea' - YouTubeWhile the user requirements do not
they are clearly targeted at the database it is understood that being a company
completely independent need a user-friendly system that makes it easier for them
use of information, data entry and extraction.

3
Current Situation (Video Summary)

Mr Grean Tea, a family business that was founded in 1968 with extensive experience.
from the ice cream industry and exotic flavors turns to a professional team to
request assistance and see some way to increase their annual income.

According to logistics, the company generates an annual income of around 2.5

millions of dollars a year which worries them since it has not increased its
income despite the hard work and requests that have been made to them.

Richard, the owner of the business, tells us that the company operates as follows
way

Their product has 3 exotic flavors; Green Tea (Best-selling product),

Ginger and beans. Supply the Asian restaurant trade in New
York. Due to the high cost, the company has not created new flavors for a long time.

around a decade.
The company relies on co-packers to make the ice cream, that is,
they produce a certain amount of product without managing time, personnel and
contractor's supply.
The transfer of the product to the company's warehouse is carried out by the co-packer.
In conclusion, the Company depends on co-packers to create the
product, which amounts to a 20% margin on 2.5 million dollars
per year.

Analyzing the client's need, the investor proposes the following:

Create your own installation and not depend on the co-packers, which allows them
would allow for the creation of more products more quickly.

4
Given the increase and speed of product creation, it would allow for a
higher number of customers and new stores with own brand.
This change would allow us to double the income, reaching 5 million dollars.
per year, projecting that in 30 to 40 years an annual income will be achieved of
30 million dollars.

According to the case presented, the following is requested:

1. Identify initial requirements for database modeling in

based on the case presented.

A system is needed to input stock data.

A system is needed that allows for the analysis of purchases and sales.
3. A basis is needed that allows projecting and sizing sales or losses.
4. A database is needed to see the % of profit margin.
5. Maintain (introduce, update, and delete) the data about the products.
6. Maintain (introduce, update and delete) sales data
7. Conduct information searches about the products.
8. Conduct information searches about sales.
9. Generate reports on the products.
10. Generate reports on sales.

The system will be an ideal tool that will facilitate data management.
production and sales. Moreover, it is very useful for managing the
operations in a more orderly manner.

5
1.2 User Classes and Characteristics

We will ask ourselves who will have access to the system because here we have a brief
explanation of how this database will be managed:

Administrator.

1. Enter the customer data using the information taken from the document.
request for opening to the client or supplier.

2. Enter the data filled in by the client in the sales contract where the date is and
start of contract and products to be delivered at the base.

3. The data from the dispatch guide is taken to check the date it was
sent said product.

Sellers.

1. Consult the customer database to be able to make visits and have a

address for the delivery of the products.

Manager

Use the database to review the company's production in general.

Employees

The warehouse manager keeps the production report data for ice creams
new products in the case that it has been made.

6
2. Apply the stages of an information system life cycle.

Identification of problems, opportunities and objectives

In the case presented, we know that the problem is data control where there is
to avoid non-auditable papers and written reports that may exist since the
company. Under the concept of opportunity, it would allow them to have better management and
future projection, where it could allow for decision-making based on the data
delivered. The objective of this is to have readable numbers, statistics, and analysis of
data.

Determination of the information requirements of the human factor

Needs are defined in the work environment and circle, getting to know the
co-packer, expenses used to carry out the product and interviews with
the owner of the Company, Vice President and Brand Manager. Could be added
also to know the base systems that were used at the time, system
computer operation to confirm the functionality of the requested software.

Analysis of the system's needs

Create and analyze Data flow in

where it allows the developed from
software of agreement to the
requirements lifted by the
client. A continuation, it
leave an example from the DFD:

7
Recommended system design

Design is created according to the requirements raised by the client, accesses

enabled for certain users, different profiles according to the role that will be handled.
system. such as, for example:

- Manager, Administrator Role

Employer or warehouse worker, viewer role or user

Furthermore, it is important to create a user-friendly system for the correct input of data and

to meet the established metrics for their control analysis.

Software development and documentation

Documentation or manuals and procedures are being developed for the user.
Also in the creation of Knowledge Base or frequently asked questions of
user. Explain to the user through a written document how to perform
error reports or system failures. Explain complex cases and steps to
continue to enter, register, delete and download data from the system among others.

System testing and maintenance

Before using the software, it must be tested. Carry out routine management on
the system and raise cases for the preventive maintenance of the program.

Implementation and evaluation of the system

8
In this final phase, all the old information is transferred to the new system. In addition,
users who will use the system must be trained and supervised. Install
program the previously reviewed teams confirming compatibility of the
system and program.

3. Classify the type of data model

Relational Data Model.

9
Conclusion

It can be concluded that the creation of a Database System will help

in large quantities to the company, to improve development and growth of the
the same. It is important to understand that clear communication is needed and
constant with the user, in this way the desired objective can be achieved
fulfilling a large part of the expectations of the program to be developed. Although,
There are several ways to gather user requirements,
It is important to highlight the points that, in my view, will help us to
identify customer requirements more easily; The Users
involved, the Process or business model and the product.

Each of these objectives emphasizes the specific requirements of the database.

Making it clearer what the expectations of this are.
