Computer Notes – Class 7

What is a Database?
A database is a collection of organized information that can be easily accessed,
managed, and updated.

Example: Think of a database like a digital cupboard where you keep your school
records — like names, roll numbers, marks, and addresses — neatly arranged in
files and folders.

Key Points:
- Stores large amounts of data.
- Makes searching and updating data easy.
- Used in schools, banks, hospitals, websites, etc.

Simple Definition: "A database is a place where data is stored in an organized way so
it can be used easily when needed."

What is a Field and a Field Name?

Field:
A field is a single piece of information in a database record.

Example: In a student record, the fields can be: Name, Roll Number, Class, Marks

Field Name:
A field name is the title or label given to a field so we know what kind of data it
contains.

Example: If a field holds a student’s name, the field name will be "Name". If it holds
marks, the field name will be "Marks".

In short:
- Field = actual data (like "Riya", "34", "7th Class")
- Field Name = heading or label (like Name, Roll Number, Class)

What is a Record?
A record is a complete set of related information about one person or one item in a
database.

Example:
Name: Riya | Roll Number: 23 | Class: 7 | Marks: 85
This row of information is one record for student Riya.

Simple Definition: "A record is a row in a database that contains all the information
about one person or thing."

What is the Purpose of Freeze Panes?

The Freeze Panes feature is used in Excel to keep rows or columns visible while you
scroll through the rest of the sheet.

Purpose:
To lock the top row or first column so that you can still see headings or important
information when scrolling.

Example:
If you freeze the top row (like headings: Name, Roll No, Marks), and scroll down, the
top row will stay in place — making it easier to understand the data.

Simple Definition: "Freeze Panes helps you keep some rows or columns fixed in
place while scrolling in a worksheet."

Is it Possible to Freeze the Top Row? If Yes, How?

Yes, it is possible!

Steps to Freeze the Top Row in Excel:

1. Open your Excel sheet.
2. Click on the "View" tab on the Ribbon.
3. Click on "Freeze Panes" in the toolbar.
4. Select "Freeze Top Row" from the drop-down menu.

What Happens?
Now, when you scroll down, the top row will stay fixed at the top — so you can
always see the headings.

Example:
If the top row has: Name | Roll No | Marks — these will stay visible even when you
scroll through many student records.

What is the Purpose of Using a Form?

A form is used in a database or software to enter, view, and edit data easily.

Purpose of Using a Form:

1. Easy Data Entry: Forms provide a simple way to enter data without directly
working with tables.
2. User-Friendly: They look like a page with boxes (text fields, buttons) — easy for
anyone to fill.
3. Controls What You See: You can design a form to show only the fields you want
(like Name, Class, Marks).
4. Avoids Mistakes: Forms help reduce errors by guiding the user step-by-step.

Example:
In a student database, a form may have boxes to fill in: Name, Roll Number, Class,
Marks

Simple Definition: "A form is a tool used to enter or update data in a database in a
simple and organized way."
