Chapter 2: Overview

Avaya Web Collaboration Agent


Avaya Web Collaboration Agent is a conferencing and web collaboration tool for mobile devices.
You can use the tool to start, join, and manage audio and video conferences on Avaya Aura®
Conferencing from your Android device.
Depending on your role as moderator, presenter, or participant, you can use the application to:
• Start, join, lock, and end conferences.
• Conduct conferences using the integrated audio and video.
• Share and view documents and whiteboards.
• Send and view messages during web collaboration sessions.
• Promote or demote participants to the presenter or moderator role.
• Disconnect self or other participants.
• Add and edit meeting minutes which are available for review later.
• Record web collaboration sessions.
• Send invitations for conferences through email and text messages.
Enterprises use Event conferences to conduct conferences that involve a large number of
participants. Event conferences have a number of unique characteristics that distinguish these
conferences from regular conferences. For example, all participants are muted and entry and exit
tones are disabled.
To use Avaya Web Collaboration Agent, you must have:
• A device running Android 4.0.4 or later with a Wi-Fi or 3G/4G cellular connection
• An Avaya Aura® Conferencing account
• SIP settings from your system administrator for the integrated audio and video features
When you log in to a conference with the Avaya Web Collaboration Agent, do not change to another
application. If you change to another application and:
• Do not change back within 5 minutes, the application logs you out of the conference.
• Change back within 25 minutes, the application prompts you to reconnect to the last
conference.
• Change back after 25 minutes, you must manually log in to the conference again.
If you try to change between 3G/4G and Wi-Fi during a conference, you must join the conference
again.

Audio and video in Avaya Web Collaboration Agent

Audio and video in Avaya Web Collaboration Agent


With the integrated audio and video in Avaya Web Collaboration Agent, you can receive audio,
video, and data using a single device. You can click a conference URL, join the conference, and
immediately share audio, video, and data using Avaya Web Collaboration Agent. You do not need to
dial in to the conference or configure another application to share audio and video.
Integrated audio
Avaya Aura® Conferencing supports extensive flexibility in the configuration of the audio feed for
your conference. You can dial in to the conference using any telephone and start using the
integrated audio capabilities of Avaya Web Collaboration Agent. You can log in to the application
and use the audio features with the microphone and speakers of your device. You do not have to
dial the conference telephone number separately.
Integrated video
Avaya Web Collaboration Agent also supports embedded video streaming. If your device has a
camera, you can stream your own live video feed to the conference. You can also receive live video
from the other participants. Avaya Web Collaboration Agent always transmits the live video of the
currently active speaker.
Avaya Web Collaboration Agent also displays a self-view to display what your camera is
transmitting. If you do not have a camera, Avaya Web Collaboration Agent does not display a self
view, but you can see the live video of other participants.
Note:
Audio and video access in Avaya Web Collaboration Agent is an optional feature. If you do not
have access to this feature, contact your system administrator.

Library
Avaya Aura® Conferencing provides a library for users with accounts to upload documents,
presentations, and images to share in web collaboration sessions. Participants can collaborate by
viewing these documents and making notes on shared whiteboards. In the library, you can:
• Upload documents.
• View documents.
• Rename documents.
• Sort documents according to your preference.
• Delete the uploaded documents.
Sharing content from the library has the following advantages. Presenters can share content from
the library:
• From anywhere by logging in to and gaining access to the library.
• For more responsive and higher resolution sessions.

Web collaboration URL


Before you can start or join a web collaboration session, you must enter the web collaboration URL
for Avaya Aura® Conferencing. The URL is the web address for gaining access to Avaya Aura®
Conferencing web collaboration. The web collaboration invitations that you send and receive contain
the collaboration URL in the following syntax:
https://IP address or FQDN of the Collaboration Agent server/aacpa
Note:
During web collaboration sessions, you cannot change:
• Between 3G/4G and Wi-Fi. If you change between these two connections, you must join
the conference again.
• From audio to video. If you change to video, the audio connection disconnects until the
application reconnects.

Joining web collaboration sessions as a guest


About this task
If you do not have an Avaya Aura® Conferencing account, use this procedure to join web
collaboration sessions as a guest.
As a guest, you do not get access to the audio and video conferencing features of the application.
You must dial in using an audio bridge.
Procedure
1. On the Avaya Web Collaboration screen, enter the following information:
• Collaboration URL
• Conference code
• Passcode
2. Tap Join Collaboration.
3. Tap Join as a guest.
Avaya Web Collaboration Agent displays the Guest screen.
4. In Enter your name, enter the name to display in the web collaboration session roster.
5. Tap Save.
Avaya Web Collaboration Agent saves the collaboration session and displays the Avaya
Web Collaboration screen.
6. Tap Join next to the web collaboration session entry.

Viewing the web collaboration history


About this task
Avaya Web Collaboration Agent saves the details of the web collaboration sessions that you start or
join. The web collaboration history contains the web collaboration URL and the conference codes
that you use for the sessions.
You can start or join web collaboration sessions from the list of saved sessions. You cannot view the
web collaboration history from an active web collaboration session.
Before you begin
Log out of Avaya Web Collaboration Agent.
Procedure
1. Tap More .
2. Tap Favorites.

Deleting the web collaboration history


About this task
When you delete the web collaboration history, Avaya Web Collaboration Agent also deletes the
web collaboration URL and your user name from the application. You must again enter your login
credentials when you start a web collaboration session the next time.

About this task
The meeting invitation contains the URL of Avaya Web Collaboration Agent that includes the
participant code for your conference. You can change the original meeting invitation.
When you send a text message, Avaya Web Collaboration Agent uses the data or text plan of your
smartphone. Text messaging charges apply.
Before you begin
Host a web collaboration session as a registered user.
Procedure
1. Tap More .
2. Tap Send Meeting Invite.
3. Tap:
• Send email invite to send the meeting invitation in an email.
• Send SMS invite to send the meeting invitation in a text message.
Depending on your choice, Avaya Web Collaboration Agent displays the email or text
message to send.
4. Add the email address or the telephone number of the recipients, and send the meeting
invitation.

Configuring conferences to start before the moderator joins


About this task
Fast Start-enabled conferences that start before the moderator joins do not support web
collaboration. If Fast Start is:
• On: The participants can talk to each other on the audio bridge before the moderator joins.
• Off: The participants who log in to conferences before the moderator hear an audio message
and music. The audio message informs the participants that the moderator has not logged in.
The conference starts after the moderator joins.
You cannot change the default settings of active conferences and the conferences of other users.

Configuring conferences to remain active after the moderator


disconnects
About this task
Configure conferences to continue with the participants even after the moderator of the audio bridge
disconnects. If Continuation is:
• On: Conferences remain active after the moderator of the audio bridge disconnects.
• Off: Conferences end a short period after the moderator disconnects.
When the moderator disconnects, Avaya Web Collaboration Agent might automatically
promote a participant to the moderator role. Avaya Web Collaboration Agent automatically
promotes only one of those participants who earlier tried to join the conference with the
moderator code.
Standalone web collaboration sessions continue after the moderator disconnects from Avaya Web
Collaboration Agent.
You cannot change the default settings of active conferences and the conferences of other users.
Procedure
1. Host a web collaboration session as a registered user.
2. Tap More .
3. Tap Conference Settings.
4. Tap the Continuation toggle switch to allow or prevent conferences from ending when the
moderator disconnects.
