Sunstone Attendance Policy

Objective: To establish clear guidelines for attendance, including biometric marking, regularization and work-
from-home provisions to ensure operational efficiency and fairness.

Scope: This policy applies to all employees of Sunstone, covering biometric attendance, regularization and work-
from-home guidelines

Guidelines

1. Biometric Attendance

• Punch-In and Punch-Out: All employees must mark their attendance using the biometric system every
day. Both Punch-In at the beginning of the workday and Punch-Out at the end of the workday are
mandatory.

2. Regularization of Attendance

• Maximum of 8 Regularizations per Month: Employees are allowed up to 8 regularizations per month
in case they miss Punch-In or Punch-Out for any reason.

3. Work From Home (WFH) Policy

• Maximum of 2 Work from Home Days per Month: Employees are allowed a maximum of 2 Work from
Home (WFH) days per month.
• Manager's Approval Required: Each WFH request must be raised by the employee and approved by
the employee’s manager on HROne. The employee should provide a valid reason for working
remotely.

4. General Guidelines

• Any unauthorized absence beyond regularization, may lead to disciplinary action.


• It is the responsibility of the employee to ensure that attendance is marked accurately and on time.

FAQs – Biometric Attendance System at Sunstone

1. When does biometric attendance become mandatory?


Biometric attendance is effective starting 10 March 2025 (Monday).

2. Where can I find the biometric machine?


The biometric machine is located near the Admin Bay (on the TV Wall) for easy access.

3. What should I do if I haven’t registered my fingerprint yet?


Please connect with Ravi Pandey (Admin) for fingerprint registration.

4. What if I face issues with fingerprint registration or marking attendance?


If you experience any issues, simply raise a ticket on HROne, and our HR team will gladly assist
you.

5. Is it necessary to both punch in and punch out daily?


Yes, to ensure your attendance is accurately recorded, you must punch in when you start and
punch out when you leave each day.

6. What happens if I forget to punch in or out?


If either your punch-in or punch-out is missing, the system will mark the day as Absent. However,
you can submit a regularization request via HROne. Employees can regularize their attendance up
to 8 times per month.

7. How can I regularize a missed punch?


Just log in to HROne, head to the attendance section, and submit a regularization request for
your manager’s approval.

8. Will my pay be impacted if I accidentally forget to punch in or punch out?


No, your payroll won't be affected. However, to ensure attendance records are accurate, it’s
important to regularize any missed punches.

9. How are my working hours calculated?


The system will automatically consider your earliest punch-in and latest punch-out to calculate
your total working hours for the day.

10. Will my salary be deducted if I spend less than 9 hours on a particular day?
No, your salary is linked to your overall attendance, not the number of hours worked each day.
Still, punching in and out daily is essential for maintaining records.
11. How many Work from Home (WFH) days am I allowed each month?
Employees are allowed up to 2 WFH days per month, subject to manager approval on HROne.

12. Can I work from home without my manager’s approval?


No, all WFH requests must be raised on HROne and approved by your manager.

13. What should I do if I accidentally punch out early or forget to punch back in after a break?
If this happens, just submit a regularization request on HROne explaining the situation.

14. Will technical issues with the biometric machine affect my attendance?
No, if there’s a verified technical issue, your attendance will be adjusted. Please inform Ravi
Pandey (Admin) or raise a ticket on HROne in such cases.

15. What if I’m working off-campus or at a client location for official work?
Please inform your manager in advance and submit a regularization request on HROne with the
details.

16. Can I check my own attendance records?


Yes, you can track your attendance anytime on HROne.

17. How often should I review my attendance records?


We recommend checking your attendance on HROne at least once a week to ensure everything is
accurate.

18. Will I be informed about any changes to the attendance policy?


Absolutely! Any updates or changes will be communicated via official email. If you have any
