FORMATTING:

It refers to the arrangement of the content in an organized way. It addresses things


like font selection, font size and presentation. Presentation of a document includes
formatting like spacing, margins, font style, indentation and creation of lists. You
can type text in text area. To change to separate paragraph press Enter. You can
enter text in existing document also. Using arrows present in keyboard or with the
help of mouse you can place cursor as per your requirement.

BEGINNING OF DOCUMENT: Press Home (present on the keyboard)

END OF DOCUMENT: Press End (present on the keyboard)

TOP OF DOCUMENT: press Ctrl+ Home

END OF DOCUMENT: Press Ctrl+ End

Text formatting:

Formatted text can draw the reader's attention to specific parts of a document and
emphasize important information. In Word, you have several options for adjusting
text, including font, size, and color. You can also adjust the alignment of the text
to change how it is displayed on the page.

✓ To change the font size:

1. Select the text you want to modify.


2. On the Home tab, click the Font Size drop-down arrow. Select a font size
from the menu. If the font size you need is not available in the menu,
you can click the Font Size box and type the desired size, then
press Enter.
3. The font size will change in the document.
✓ To change the font:
1. Select the text you want to modify.
2. On the Home tab, click the drop-down arrow next to the Font box. A
menu of font styles will appear.
3. Select the font style you want to use
4. The font will change in the document.

✓ To change the font color:

1. Select the text you want to modify.


2. On the Home tab, click the Font Color drop-down arrow. The Font
Color menu appears.
3. Select the font color you want to use. The font color will change in the
document.

✓ To use the Bold, Italic, and Underline commands:

1. Select the text you want to modify

2. On the Home tab, click the Bold (B), Italic (I), or Underline (U) command
in the Font group. In our example, we'll click Bold.

3. The selected text will be modified in the document

✓ To change text case:

1. Select the text you want to modify.

2. On the Home tab, click the Change Case command in the Font group.
3. A drop-down menu will appear. Select the desired case option from the
menu.

4. The text case will be changed in the document.


✓ To highlight text:

1. Select the text you want to highlight.

2. From the Home tab, click the Text Highlight Color drop-down arrow.
The Highlight Color menu appears.

3. Select the desired highlight color. The selected text will then be
highlighted in the document.

Paragraph Formatting :

Formatting Text alignment, margin adjustments, and line spacing are all a part of
paragraph formatting. If formatting needs to be applied to more than one paragraph,
at least one character should be chosen from each paragraph.

The following steps should be taken to apply paragraph formatting:

✓ Choose the paragraph(s) to which formatting needs to be applied.


✓ The paragraph dialogue box will appear when you choose Format ->
Paragraph, as seen in the following figure.
✓ Choose the alignment of the paragraph in the General section's Alignment
drop-down menu.
✓ Set the left, right, and special indents in the indentation section using the drop-
down menus for left, right, and special.
✓ Set the space before and after the paragraph in the Spacing section using the
drop-down menus for before and after. Selecting a number from the Line
spacing drop-down list will determine how many spaces between each line.
✓ To apply the formatting, click OK.

Text Alignments:

This is one of the features provided by MS-Word to its user. This feature is used
by the user to align text or paragraphs so that it gives a good look or a kind of
systematic look. There are 4 types of text alignments which are left-aligned, center-
aligned, right-aligned, and justified. (All 4 are shown in the below image.

Left-Aligned Text
A paragraph or a text is left-aligned when that paragraph or text is aligned evenly
along the left margin of the page in MS-Word. Now, we will learn step by step with
the help of a diagram to make a paragraph text left-aligned.
Step 1: First open MS-Word on your PC.
Step 2: Now, Open the document or create a new one in which you want to perform
this operation.
Step 3: Now, select the paragraph text which you want to make Left-aligned.
Step 4: Now, go to the “Home” tab and click on that. (As shown in the below
image)
Step 5: Now, go to the “Paragraph” section in the “Home” tab and click on the
Left-Align text button.
Step 6: The paragraph text is aligned to left successfully.

Center Aligned Text


A paragraph’s text or a text will be center-aligned if the paragraph or text is in the
center of the left and right margins of the page in MS-Word. Now, we will learn
step by step with the help of a diagram to make a paragraph text center-aligned.
Step 1: First open MS-Word on your PC.
Step 2: Now, Open the document or create a new one in which you want to perform
this operation.
Step 3: Now, select the paragraph text which you want to make Center-aligned.
Step 4: Now, go to “Home” tab and click on that. (As shown in the below image)
Step 5: Now, go to the “Paragraph” section in the “Home” tab and click on the
Center-Align text button.
Step 6: The paragraph text is aligned to the center successfully.
Right-Aligned Text
A paragraph’s text is said to be right-aligned when it is aligned evenly along the
right margin of the page in MS-Word. Now, we will learn step by step with the
help of a diagram to make a paragraph text right-aligned.
Step 1: First open MS-Word on your PC.
Step 2: Now, Open the document or create a new one in which you want to perform
this operation.
Step 3: Now, select the paragraph text which you want to make Center-aligned.
Step 5: Now, go to the “Paragraph” section in the “Home” tab and click on the
Right-Align text button.

Tab
Tab is the term used for aligning text in a word processor by moving the cursor to a
predefined position. It is part of the paragraph formatting feature and usually
accomplished with help of the tab key or options provided in the word processor.
Tabs help in evenly distributing the text between the margins and for indention.

Different types of tabs are as follows:


1. Home tab is used to change font, styles, setting of paragraph etc.
2. Insert tab is used to insert page breaks, tables, illustrations, links, header and
footer, text and symbols etc.
3. Page Layout tab is used to change themes of a page, margin of a page, orientation
of a page, insert a page border, column, format paragraph etc
4. References tab is used to insert table of contents, foot notes, citation and
bibliography, captions, index, mark entry for index etc.
5. Mailings tab is used to create envelopes, labels, start mail merge, write and insert
fields and preview results etc.
6. Review tab is used for proofing, comments, tracking, comparing the documents
etc.
7. View tab is used to change the outline or draft views, display the ruler or
document map, zoom, switch windows etc.

To format paragraph spacing:

Select the paragraph or paragraphs you want to format.

On the Home tab, click the Line and Paragraph Spacing command. Click Add
Space Before Paragraph or Remove Space After Paragraph from the drop-down
menu. In our example, we'll select Add Space Before Paragraph.
The paragraph spacing will change in the document.

How to Create Lists in Word?
Word offers numbered and bullet lists to the users. You can also insert multi-level
lists in word, which is a list within a list. Word indents the lower-level lists to make
readability and understanding easier.

Follow the steps given below to create a list in Word.

1. Select the text that you wish to format as a list.

2. On the Home tab, click the Bullets or Numbering button to create a bullet list or
numbered list respectively

3. If you want a different symbol or numbering system, open the dropdown menu by
clicking on the downward arrow to the right of either of the buttons. Select the bullet
or numbering style that you want to appear.

Working with Multilevel Lists


To create a multilevel list, you can follow the steps below.
1. For an already existing list, choose the text that you want to format into a lower-
level list.

2. On the Home tab, click the Multilevel List button. A dropdown menu appears,
from which select Change List Level. Choose the appropriate level to change the
level.

3 .If you want a different bullet or number style, open the dropdown menu by
clicking on the downward arrow to the right of the Bullets or Numbering buttons.
Select the bullet or numbering style of your choice, and it will appear..

Applying Borders and Shades in MS Word




Borders and shading are used in Word Documents when we want some
text/paragraph to grab the attention of the viewers, making it the First Impression.
In MS Word we can apply the Borders and Shading to the written text, paragraph,
etc. to make them look good and appealing like they pop out of the page.

Applying Borders

The border as the name suggests provides an outer/inner lining on the selected
text/paragraph. A Border is a good alternative to the Fonts Styles such as Bold,
Italics, and Underline and grabs much attention quickly without hardcore
techniques.
In MS Word there are multiple types of borders which are as follows:
• Bottom Border– Border at the bottom of the Paragraph.
• Top Border– Border at the top of the Paragraph.
• Left Border– Border on the left side of the Paragraph.
• Right Border– Border on the right side of the Paragraph.
• No Border– Removes all the borders.
• All Borders– Border on all sides of the Paragraph.
• Outside Borders– Border outside the Paragraph.
• Inside Borders– Border inside the Paragraph.
• Inside Horizontal Border– Horizontal borders on both sides inside the
Paragraph.
• Inside Vertical Border– Vertical borders on both sides inside the Paragraph.

Steps to Apply:
• Step 1: Select the text/Paragraph to apply Border.
• Step 2: Now, go to the Borders tab in the Paragraph menu under
the Home bar
• Step 3: Select the border of your choice.

Applying Shades
Another way of grabbing the attention of the viewers more likely is by using
the Shading feature in the Word Document. It is similar to highlighting the
text/Paragraph.
In MS Word there are multiple colors available in the Shading tab, which you can
apply to your text or paragraph like: red, blue, black, etc.
Steps to Apply:
Step 1: Select the text to apply the Shading.
Step 2: Now, go to the Shading tab in the Paragraph menu under the Home bar

Step 3: Select the Shading Color of your choice.

Applying Styles in MS Word

Types of Word styles:

Microsoft Word provides 4 types of general styles:


• Paragraph styles: may contain character style format options, but it impacts a
paragraph’s overall look.
• Character styles: Character styles are used to format smaller parts of the text
and decide how the text will appear in terms of individual characters.
• Table styles: Have the following table attributes: (a) Header row, (b) Gridlines
& (c) Accent color
• List styles: Have the following table attributes : (a) Bulleted list format, (b)
Indent & (c) Numbered list Format
Apply a Style in Microsoft Word
In Word, there are a variety of styles to choose from. Paragraph and character styles
are the most often utilized. Paragraph styles are used to format a paragraph. And
within a paragraph, character styles are used to format characters.
✓ Steps to apply a style to your text:
Step 1 – Text Selection:
The text selection can be done in the following ways:
• Select the text to format for applying a character style.
• Place your cursor in the paragraph to apply a paragraph style to it.
• Select the text you want to format to apply a paragraph style to several
paragraphs.
Step 2 – Style Selection and Apply:
(a) Using Mouse:
• To preview a style, point to it on the Home tab (In the right-most section).

• From the list of styles, choose any of the styles which you want for your
selected text.
(b) Using Keyboard:
• Press Ctrl + Shift + S
• A dialog box for apply styles is popped up. Choose your style for the selected
text by navigating down by pressing Alt + Down Arrow.
