GUIDELINES FOR

REPORT WRITING
An Industrial Training Report

Table of Contents - Should list only those items that follow it appearing in the following order.
- List of tables
- List of figures
- The topics (1, 2, … N, followed by the name of the topics),
- Sections within topic (e.g. 1.1, 2.4, etc. + name)
- Subsections within sections (e.g. 1.1.1 + name)
- Appendices (I, II, III, IV, .. etc. + name), if any
- References

Note -: Every page of the report other than the title page should be numbered. Pages of Table of
Contents, Nomenclature, List of Tables and List of Figures should be numbered with lower case
Roman numerals (i, ii, iii, iv, …etc.). From the first page of the first heading onwards, all the pages
should be numbered using Hindu-Arabic numerals (1, 2, 3, … etc.).

Core sections of a report include:

Introduction: In this section you formulate the problem that you want to address into details. Here
you also describe the structure of the rest of your report.

Body of Report (Technical Discussion): The basic theory necessary to formulate the subject matter
should be written further.
Conclusions: if any

References: This list includes only the sources cited in the text.

Information for other sections:

Equations: Each equation should be numbered. While typing, the equation numbers should be
flush right. The equations should be clearly written. Symbols used in the equations should be
explained immediately after the equation when they are referred first as well as in the
nomenclature. SI units must be used throughout the report. Example:

𝑎 =𝑏+𝑐 (1)

Tables and figures: Tables and figures should be numbered and captioned. Each table as well as
figure should have a title. An identical entry should exist in List of Tables or List of Figures
respectively. Title of a table is given at the top of the table preceding its number in middle
alignment. Title of a figure is given at the bottom preceding its number in middle alignment. If
taken from any reference, the reference should be cited within the text as well as at the caption of
the figure or table.

References: Each entry in the reference has a label. Any reference from the main text to the entry
should use this label. All references cited in the text-body should be there in the Reference list.

Labeling in Text- A numeric label arranged in a order of citation in the main text. This label is
used in square brackets at the point of citation, e.g. [34]. The references should be arranged
together in the order of this numeric label.

For a book: Name of the authors, title (italic), publisher, city of publication and year of publication.

For an article in a journal: Name of the authors, Year, title, name of the journal (italic), volume
(issue number) and range of pages. (APA Style)

For an article in conference proceedings: Name of the authors, Year, Title, name of conference,
editors (italic)and range of pages.

A chapter in a book: Authors of the chapter, title of the chapter, editors of the book, title of the
book, publisher, city of publication, range of pages, and year of publication.
A report: Authors, title, university/company, report number, year.

A manual / handbook / standards : Company name (if there are no authors), title, reference number,
year.

A web-site : Author or Organization, name of the site, complete address of the site, date visited.

1. Paper Size : A- 4 size bond paper
2. Margins : Top : 1” (1 inch=2.54 cm)
Bottom : 1” (i.e., 2.54 cm)
Left : 1.5”
Right : 1”
3. Line Spacing: 1.5 lines
4. Title: Font : Times New Roman (Bold face)
Size : 14 point
Alignment : Right Alignment
5. Headings: First Order Heading: (for example – 1. INTRODUCTION)
Font : Times New Roman (Bold Face and Uppercase)
Size : 12 point
Second Order Heading: (for example – 1.1. Evolution)
Font : Times New Roman (Bold Face)
Size : 12 point
Third Order Heading : ( for example – 1.1.1. Image Processing)
Font : Times New Roman (Underline)
Size : 12 point
6. Text Font : Times New Roman
Size : 12 point
Line Indent : First line of every paragraph should be indented by 1 cm.
( Except first paragraph *)
Alignment : Justified (Full Text)
Line spacing 1.5

7. Figures and Tables : Centered Placed Caption

Note :
1. Report must be Spiral Bounded.
2. One copy of the report should be submitted to the Coordinator.
3. The report must be written in your English language.
5. Timing for the presentation is not more than 10 mints and 5mints time should be given for
Viva and Question – Answer Session.
6. The distribution of marks should be based on attendance (Including behavior), seminar
report, PPT, presentation, and question session.
