TOPIC- COMMUNICATION SKILLS II
Communication skills are important to everyone, they are how we give and receive information and
convey our ideas and opinions to others. Communications comes in various forms such as
● Verbal ( sounds, language and tone of voice)
● Aural ( listening and hearing)
● non verbal ( facial expressions, body language and posture)
● Written ( journals, emails, blogs and text messages)
● Visual ( signs, symbols and pictures)
Methods of communication
1) Verbal communication :- Verbal communication means communication through spoken oral and
written words.It implies use of words which make up a language eg English, Hindi, French etc.
Language plays a significant role in verbal communication. The effectiveness of verbal
communication depends on the tone of the speaker, clarity of speech, volume, speed, body
language and the quality of words used in conversation.
Verbal communication are of two types
1. Oral communication
2. written communication
Advantages of verbal communication
1. It is quick in obtaining feedback once delivered.
2. it says time in communication.
3. it is More reliable method of communication.
4. it is a cheaper way of communication that saves money.
5. it provides complete understanding of communication delivered and there is it there
is is chance to make it more clear in case of doubt in interpretation words and ideas.
Disadvantages of verbal communication
1. It has no legal validity and hence will lead to problems in certain situations.
Emotions are visible and hands lead to trouble in certain cases.
2. it has issues when communicating with distant people. it does not provide a
permanent record unless it is recorded with modern means of storage.
3. This form of communication is not suitable for lengthy messages.
2) Nonverbal communication :- Nonverbal communication occurs without using any oral or written
words. it relies on various non verbal things such as physical movements, colour, signs,
symbols, body language etc to express feelings, attitudes or information.
Components of nonverbal Communications are-
● Eye contact
● Gestures
● body language
● Proximity
● Touch
● personal appearance
● visual communication
● Paralinguistic ( tone, pitch, inflection)
● facial expressions
● space and distance
● Humor
● Silence
● posture and body orientation
●
Advantages of nonverbal communication
1. It conveys clear and precise meaning to the receiver.
2. It is presentable through visual, audiovisual and silent means.
3. This type of communication serves as a substitute for verbal communication.
4. It is helpful in communicating with illiterate people.
5. It is attractive in nature as visual pictures graphs attract everybody's attention.
6. It is very impactful as visuals greatly affect the mind of people.
Disadvantages of nonverbal communication
1. In the absence of language, this type of communication does not convey actual meaning of
message.this communication is imprecise.
2. it can be confusing as no clear messages are conveyed.
3. Long conversations are not possible in non verbal communication.
4. It can be costly as neon signs, PowerPoint presentations, movies involve youth cost.
Note :- visual communication conveys Idea and information in the form that can be seen. It is also known
as graphic communication.
Providing feedback :- communication is complete when feedback is provided as it enable us to
understand whether our message has reached intended people and has been understood.
The communication cycle
Feedback - Feedback is the final step in communication
cycle. it is the receiver's response to the message, which
enables the sender to evaluate the effectiveness of the
message sent. does the feedback plays a very important
role in communication cycle.
A good feedback is one that is specific, timely. polite and offers continuous support.
Importance of feedback :-
1. it validates effective listening
2. it motivates.
3. it boosts learning.
4. it improves performance
Types of feedback :-
1. Descriptive feedback :- Is a detailed exercise to train and improve the candidate for participants
performance. These bags are not very frequent but they are given at certain important time
intervals. descriptive feedback in the result of scheme objective observation and evaluation for
example, the teacher gives the feedback on your performance during PTIs.
2. Non specific and specific feedback :- specific feedback from a teacher to the student provides
detailed information about students performance on a subject. For example a teacher may tell a
student you wrote the description very well but your diagrams were made untidily and missed
some details. This is specific feedback to the student so as to enable him to improve his
performance.
A non specific or generic feedback may be like, you did very poorly in the test or you could have
done better.
Barriers to communication :- anything that prevents or disturbs the sending or receiving the
communication for message is considered as a barrier to communication.
Types of Barriers to communication
● Physical and environment based Barrier :- These are environmental factors which prevent or
reduce the sending and receiving of communications. They include physical distance distracting
noises and similar interference.
● Interpersonal barriers:- They arise from the judgment, emotions and social values of people.
Psychological distance between people similar to the physical distance.
● Semantic barriers :- these refers to symbols or visuals use Din the message. the barriers may
arise due to symbols we use, as it may mean different things to different people.
● Intrapersonal barriers :- There are different types of intrapersonal barriers in an individual's
personality like selective perception, individual differences in communication skills, emotions etc.

Principles of communication :-
The most basic principle for a communication is to be effective is that the intended message of the sender
and the interpreted message of the receiver are one and the same.
The seven C's of effective communication :-
1. Complete message - avoid confusion, ensures desired response
2. Concise message - save time, promotes understanding
3. Considerate message - promotes good relationships, develops good rapport
4. Clear message - promotes understanding, avoid repeat messaging
5. Concrete message- prevent misinterpretations, promotes clarity
6. Courteous message - develops good relationships, promotes mutual benefits
7. Correct message - promotes trust, enriches relationships.
