Fix
Entry Level Approvals (ELA) will enhance OTL Approval Styles to allow for specific entries to route to specific approvers. The Entry Level Approval is based on one or more entered timecard value(s) for a recipient application. For example, a value could be a project or an hours type. This functionality allows approvers to see and act on only those parts of a timecard for which they are responsible. Via Time Categories, specific attributes are identified to determine which parts of a timecard route to specific approver(s) acting within an application. ELA functionality enhances OTL's approval mechanism, and allows for a greater level of granularity within the approval process Entry Level Approvals will: Identify Time Entry attributes that will route to a specific Approver for an application. If these specific attributes are not present on a timecard, nothing will be routed to the respective approver. Identify the Default Approval Style for timecard fragments not meeting specific ELA Time Entry Approval routing requirements. Associate the ELA Approval Mechanism with specific users through OTL Preferences. Record the application Approval Status of the Attributes contained within a timecard. All Attributes should have an application approval status at the end of the approval process. Provide information to the end user (either Timekeeper or Self Service User), when entries have been rejected, to alert them as to what parts of a timecard require changes. Provide a mechanism to ensure that all attributes in a timecard progress to approved status. Entry Level Approvals use Time Categories to identify the Time Attributes requiring approval routing. The items displayed to the Recipient Application's approver may display as the same line that was entered by the Self Service User, or a subset of data specific to the application for which the approver is responsible. Time Attributes (timecard entries) on a Timecard not
identified within Time Categories will route to the Default Approver so that all entries route for an approval action. All timecard attributes require an appropriate status as defined by setup to allow the timecard entries to be retrieved by a recipient application. OTL will not retrieve partial timecards to a recipient application. The Approval Style form has been modified to enable Entry Level Approval Components. Entry Level Approval is a new Approval Type that requires additional information to be entered via a new button on the Approval Style form. Sequence number is now a required entry. The sequence number enables Approvals to be parallel or serial for the different applications (Parallel when assigned the same number, serial when assigned a higher number). ELA allows for a new Approval Component of Project Manager. It is recommended that the same Project Manager be associated with the Projects defined in the ELA Time Category to route timecard entries to an approver. If the Projects have different Project Managers, or no Project manager defined, then unpredictable results may be shown to the approver. If there is no Project manager assigned, the Approval Workflow will remain in a Submitted status, and require the Workflow Administrator to intervene in completing the approval Process.
Setup of Entry Level Approval Functionality 1. Define Time Categories with groups of Timecard Entries that will route to specific Approvers. Create a New Approval Style Enter an Application Enter a Sequence Number (required) Enter a Type of 'Entry Level Approval' Enter a Begin Date (defaults to System Date) Enter an End Date (optional) 2. Select the Entry Level Approval Components button. This button is enabled when selecting the Type of 'Entry Level Approval'. On the Entry Level Approval Components Form enter a Default Approval Style. The default approval style is necessary for those components not matching a Time Category value. The delivered default is Auto Approve. Enter a Time Category Enter an Approval Type and Identifier (if required) Enter a Sequence Number Save 3. Associate the New approval Style to users with using the Approval Style Preference and respective Eligibility Criteria for the workers. 4. Associate a new layout segment - Approval Fragment Layout to users with the Entry Level
Approval Style (using the Layout Preference associated with the users). The new layout segment enables the viewing of the timecard sections that were acted on by different approvers. NOTE - The new segment is an optional setup step, and if used, then the user can view the timecard with approver's comments for each timecard section acted on by the approver. OTL delivers Approval Fragment Layouts for the Exception Layout, Payroll Layout, Projects Layout and the Payroll and Projects Layout. If company defined layouts have been developed, then a corresponding Fragment layout should be developed Also refer to note 297501.1
