1.0: CHAPTER ONE: INTRODUCTION


Uzima Company is a leading borehole service provider in Kenya aimed at
providing services to Kenyans at very Low prices. They provide drilling services
to industrial, commercial, and domestic clients.

The company offers:

i. Symmetric Drilling
ii. Core Drilling
iii. Geo-technical Drilling

After drilling is done, a water pump is installed. Depending on the customer’s


choice, various types of water pumps are installed. They include:

i. Submersible water pumps


ii. Solar pumps
iii. Hand pumps

They also install tanks and charge depending on the capacity of the tank in
litres. Lastly the company also offers plumbing and pump maintenance. The
plumbing services are charged according to

i. Type of pipe
ii. Length of pipe
iii. Diameter of the pipe in inches
iv. Number of outlets

Clients who are interested in our services are required to apply. During the
application process, the following details are required: Name, Address, Phone
Number & details of the intended borehole location. Each client is also
required to pay the survey and local authority fees.

2.0: CHAPTER TWO: SYSTEM ANALYSIS

2.1: PROBLEM DEFINITION


The company has been using a manual system, which is prone to errors. The
company now wants an electronic system which is automated and accurate
when processing data for the company.

The new system is also intended to increase service delivery, maintain all
records for the company and analyse data from time to time unlike the manual
system which was being used their before. It had various challenges like fraud
discrepancy from the company’s finance officers where some figures were
erased manually from the record books. The company incurred a lot of losses
through this process.

2.1.1: THE EXISTING SYSTEM


2.1.1.1: Overview and structure of the existing system
The system that the club uses is full of errors. Services are offered within a long
time. To make it worse the company inputs data using a paper and pen which
is full of errors since it is written by human beings.
2.1.2: CHALLENGES FACING THE EXISTING SYSTEM
1. The system is slow and time consuming: every member must queue on
the line when he/she needs some services rendered to him/her.
2. Its expensive-it requires many members to work in every department and
to be approved by the head of each department thus may cause problems.
3. Its tiresome-one secretary may be needed to perform a lot of tasks at the
same time hence cumbersome.
4. It’s ineffective and inaccurate-calculations are done manually hence
accuracy problems may be incurred. Sometimes, items are offered
directly from the store which is an ineffective way of performing the
exercise of issuing goods and services.
5. System security-the previous system could be manipulated manually by
using the pen, eraser and paper by authorized people.

2.1.2: PROPOSED SYSTEM


GENERAL OVERVIEW OF THE PROPOSED SYSTEM
Given the general analysis of the existing manual system, an automated
computerized system is required.

2.1.2.1: OBJECTIVES OF THE NEW SYSTEM


The new computerised system will be able to:

a) Register and maintain a list of clients.


b) Register items and services provided by the company.
c) To compute:
i. Total amount to be paid by each client.
ii. Total amount charged on plumbing.
iii. Tax paid by each client.
iv. Total fees charged for survey and local authority.
v. Total revenue generated by the company from each
service from all clients.
d) Generate appropriate reports.

2.1.2.2: Scope of the proposed system


1. It has reduced fraud and discrepancy due to introduction of a
computerized system.
2. It has maintained and secures data electronically.
3. The system is faster enough.
4. It is easy to approve all records of shares and interests.

2.1.2.2.1: Benefits
1. The system will generate accurate records which are up to date.
2. Less costly materials will be required.
3. The system will be faster enough.

4. The new system will be computerized hence less time will be used in
processing of data.
5. More space to store and enter data will be available.
6. More physical space will be created.
7. Records will be easily accessible.

2.2: Feasibility study


2.2.1: Economic feasibility

2.2.2: Technical feasibility


The new system will require computing devices; hardware and software, both of
which are affordable and readily available in the market. The costs are as are
follows:

2.3: FACT FINDING


The Uzima Borehole Drilling Management system has positively responded to
the system development. The members of the organization have a need to
discover the system development through collection and fact findings. They are
allowed to use various methods such as:

2.3.1: QUESTIONARE
In my case study, I decided to use a questionnaire to seek information and facts
about the previous system and the new system.

2.3.2: Observation
Here, first-hand information on how the system works is provided. Scope of
everyday operations and activities is observed and taken note of as data is
collected. The number of many manually written documents was reviewed.
They included; invoice, sales report, orders report, ledger book and all the
information about the sports club.

2.3.3: Documentations study


A number of manual documents were analysed.to obtain data about the existing
operations of the system to help in decision making while constructing the new
one.

2.3.4: Interviews
A lot of interviews were conducted which involved the employees of the
company, the previously employed and the company’s management.
For each an interview guide was used.

RECOMMEDATION

1. Maringo sports club management system is more computerized hence it


should be maintained.
2. It should be operated by computer experts who will know how to manage
the system without being hacked through system audit.
3. The systems provide paperless work since it is electronic.

5.0: CHAPTER FIVE: SYSTEM IMPLEMENTATION


After each system modules were tested and those found with errors were
debugged, the final stage of Maringo sports club system development was
carried out by the development team. The team was also responsible for the
installation and configuration of Maringo sports club system. But before all
this installation was done, responsible company staff was given a two weeks
training on how to use the new system.

6.0: CHAPTER SIX: USER MANUAL

Installation guide
6.1: INTRODUCTION
Maringo sports club enables the user to enter data more efficiently and
accurately without a lot of errors. By using the Maringo Sports Club system one
can be able to process a lot of documents that usually took a lot of time when
using the former manual system. Actually it is a stress free software system
that makes the user to enjoy the work environment. I therefore strongly
recommend the use of this system to any sports club that is still lagging behind
in terms of system development.
6.2: LOADING THE SYSTEM
Click the start, point to the programs then click on the Maringo Sports club
system. The main switchboard is then displayed.
6.3: Data entry procedure
On the main switchboard are menu options that help the user to choose on
the input task to process. You activate any of the menu items by clicking on the
buttons containing the names of the task.
6.4: To Load the system.
To load the system, proceed as follows:
1. Click start, point to programs then click MARINGO SPORTS CLUB
SYSTEM.
2. The main switchboard appears
3. Then press the button LOG IN

6.7: Troubleshooting Guide


Erroneous and invalid messages may appear on your screen. Some of these
messages may include:
1. The changes you requested to the table were not successful because
they create duplicate values in the primary key, index or relationship.
The only solution to this kind of problems is to avoid double entry of
fields or characters.
2. The value you entered is not valid for the field.
Solving: Enter a valid data and in the correct format.
CONCLUSION
In order to remain competitive in the sports sector, Maringo sports club is
required to take advantage of the benefits realized from use of ICT. This is why
the new Maringo sports club management came up with this bombastic idea of
computerising crucial business operations and processes. This goal has been
met by developing an automated management information system Known as
Maringo Sports Cub management system.
RECOMMENDATION
The current Maringo sports operations and processes are unfriendly, inefficient
and uneconomical. The Maringo sports club development team therefore
recommends that the company adopts automated Maringo sports club
management system.
