CHAPTER I

Introduction

Points of Sale (POS) Inventory system are software tools used by retailers to

process costumer’s sales and track products. Most POS inventory software has tool to

count inventory, track sales, and provide basic reports.

A POS facilitates the transfer of payment between costumers and business. A

POS may be as simple as cash register, or as complex as a networked computer system

that link payments with inventory and more. A POS may be as simple cash register, a

single computer, or an integrated computer network with POS software. It maybe also a

mobile device like a laptop, tablet, phone or specialized terminal that can be used

remotely for online sales transactions. POS system maybe use on variety of ways. They

are most useful for small business that sells products.

Inventory system is a system that track your stocks, supplies, and sales through

entire supply chain. Companies or small business like grocery store use inventory

system to ensure they know what items are they have available and the location in which

they reside.

A inventory system provide detailed records of new and returned products as like

they entering or leaving the warehouse to help small business organized their stocks.

These system can also track data such as the number of units, cost per units, serial

numbers, lot numbers, purchase dates and production dates.

1.1 Project Context

The researcher made a personal visit to the TND store to make a formal

interview. The questions is about how they manage they inventory since they have only

one Points of Sales (POS) system. According to the owner the process of inventory on

the frozen foods was done manually. Since it was done manually there was a time that

the man who do the inventory was mistakenly do it wrong. Existing inventory

management also does not provide any means in detecting expired date for frozen foods

products such as tocino, longganisa, ham and etc. Failure to identify the expired date of

certain products cause the store to incur losses on those items. The researcher gave a

serious consideration on how the system could be used in terms of inventorying and

monitoring products of frozen foods.

Tindahan ni Dod’z (TND) was started as a mini sari sari store and now a

successfully store. It was owned by Mr. and Mrs. Bathan and the store was established

since 2005. The store was located at Blk. 59 Lot 1 Asia 2 Kapayapaan Vill Canlubang

Calamba City of Laguna. Mrs. Maria Luanne Arcan Bathan was the standing owner of

the TND store and she was managing the store with his husband for a year.

1.2 Purpose and Description of the Project

Nowadays, Points of Sales (POS) and Inventory system was used by companies

and even small businesses like grocery store. With the help of this system companies can

monitor their stocks easily without manually counting it.

To keep up the leading position in today’s competitive retail market, you need a

good POS and inventory system to help you run the business properly. And to improve

efficiency, gain visibility into your stock, and automate your hardest jobs, you need to

integrate your POS with an inventory system.

The Following are the primary function of the Frozen Foods POS and Inventory

System:

-Provide Owners Login

-The owner can see the price of any products of frozen foods.

-It can monitor the stocks of frozen foods including the reports about the weekly

sales.

-The owner can add, update, and delete information of frozen foods product.

The POS and Inventory System is designed to be used by the owner of the TND

store.

The POS and Inventory System is simple to use compares to manually

inventorying the products.

1.3 Objectives of the Project

1.3.1 General Objectives

-The general objectives of this project is to design a POS with inventory

system and make the monitoring of products easily to manage compares to manually

monitoring the products.

1.3.2 Specific Objectives

-To design and develop a module that make the staff of TND reduce time

and effort to manually inventory the stock of frozen foods.

-To design and develop a module that informs the owner that his/her

stocks is increasing or decreasing and also its expiration date.

-To design and to develop a module that provide function to manage

goods in the store more efficiently.

-To design and to develop a module that automatically generate weekly

report on sales and inventory activities.

-To design and develop a module that generate receipt with proper format

for costumer’s references.

1.4 Scope and Limitations

Scope

The frozen foods POS and Inventory System for Tindahan ni Dod’z (TND) has

the following modules: Automated inventory module, Automated weekly report module,

and Quality Control module.

 Automated Inventory Module The store can now track and organize

stock, supplies, and sales. It will also allow the TND store to manage

inventory in real time, and make their business-critical decisions in a

timely fashion. The system will be the one who monitors the stocks, if

one of the products of TND store is running low on stock and reaching

the predetermined reorder point, then the inventory system will

automatically let the owner know.

 Automated weekly Report module generates daily and weekly report to

know the number of inventory in the products and also to know that the

sales is improving.

 Quality Control Module is to check the expired date of the products to

reduce return products.

Limitations

 The proposed system does not provide checking request for new request

for new products and this make the requesting process incomplete where

the user have to check it manually.

 The proposed system cannot be opened if the hardware that you are using

is not connected in the internet.

 The proposed system can only operate by the owner of the store

1.5 Definition of Terms

Automated System is the technology by which a process or procedure is accomplished

without human assistance.

Record System ensures that institutional records of vital historical, fiscal, and legal

value are identified and preserved, and that non-essential records are discarded in a

timely manner according to established guidelines and identified legislation.

Points of Sales (POS) is the location where costumers of small business exchange

money for the products or service sold by the small business.

Data Analysis is a process of systematically applying statistical and logic techniques to

describe and illustrate, condense and recap, and evaluate data.

Management is a process of planning, decision making, organizing, leading, motivation

and controlling the human resources, financial, physical, and information resources of an

organization to reach its goal efficiently and effectively.

Hardware refers to the physical components of computer system. Your computer

hardware will consist of the devices within the case of the computer itself, and any

peripheral devices that are connected to the computer.

CHAPTER II

REVIEW OF RELATED LITERATURE

In this chapter, the researcher gathered information by collecting similar ideas to

gain more knowledge for accomplishing the system. The source of information and ideas

gathered were studied carefully in the development of the system.

Sale and Inventory Management System

According to Aleem, R.B.A. (2013) sale and inventory management system is a

computer-based system that provides the shop structure for maintaining and controlling

goods to be stocked. The approach of sales and inventory management system is

commonly used to avoid product overstock or outrages by integrating daily ‘Points of

Sales’ (POS) with store inventory level.

The study is related to the proposed system in terms of maintaining and

controlling goods to improve the inventory level of the product.

Inventory Management System in Mobile-Based Points of Sales

Sulthana S. et al.,(2022) said that the existing system for the most part, is utilized

in POS web applications. Numerous POS programming can be coordinated with outsider

programming. The POS is the focal part of your business, it is the Centre where the

board consolidates everything like deals, stock, and clients. Working on a retail location

calls for managerial, the board and showcasing abilities. These abilities are important to

guaranteeing sufficient stock to assembling month to month deal report.

The study is related to proposed system, in which the abilities of web application

that can assemble month to month deal report.

Inventory Control and Big Data

Manual Inventory Control System

Manually log books are maintained for when only few stock items need to be

manage and controlled. It keeps the record of stock received and stock issued. When

numbers of stock items are too many, then simple log book system won’t work. Its need

more complex system. In this case, each type of stock has a card associated with it

which contains information about the detailed description of the stock, where it is

located, what are the reorder levels, quantities required, and details about the supplier

and information about the previous stock history

Keeping the track and maintaining the information about all the details related to

stock or inventory management control manually is in fact a daunting task. To reduce

the tediousness of the task and make it simplified, manual inventory management

control system should be a big no and automated inventory controls system should be

encourage.

The study is related to proposed system, in which it’s necessary to manually

process the inventory since the number of stock items are too many. To handle this

number of stocks, it will be needed an automated system to make the inventory smooth

and complex.
