MANAGING DATA
8.1. Database Structure
In the photographed image data, the patient information such as the patient ID and name and the image
information such as the photography date and process are recorded. When two or more databases are
set, these can be exchanged.

8.1.1. System Database


Set [System Database] by using the setup program.
Record the data files and image files into the special folders, which have been set by the setup program,
separately. Record the image data into a large capacity disk, which should be regarded as a permanent
archive disk.

8.1.2. Study Drive


Set [Study Drive] by using the setup program.
Record the data files and image files into the special one folder, which has been set by the setup program.

8.1.3. Changing Database


You can change the database on the patient/data selection screens of "Main screen" and "Data Manage-
ment".
Change the database with the combo box at the lower left corner on the screen.

8.2. Editing/Deleting Patient Records
To initiate the Data Management process, click the Data Management icon on the initial
menu and to initiate the Edit/Delete process, select the Edit/Delete icon from the tool bar.

8.2.1. Editing Patient Information


1 Select a patient from the Patient List.

2 To edit patient information, highlight the desired patient name in the Patient List, and then click
Edit patient information .
The Patient Information dialog box displays.

3 Enter the new data into the appropriate data fields and click OK.
The patient information is updated and the dialog box closes.

You cannot set the year before "1900" as "Birth Date".

8.2.2. Copying Image Records
This function is used to copy the data from the selected database to the Study Drive.

1 Select the record(s) to be copied from the Records panel by highlighting the desired record(s).
You may also select all records by clicking Select All.

2 Select the destination from the Copy To drop-down list.

3 Click Copy To:

8.2.3. Deleting Image Records


This function is used to delete all or selected records for a patient from a database.

1 Select the record(s) to be deleted from the Records panel by highlighting the desired record(s).

You may also select all records by clicking Select All.

2 Click Delete.
The Delete Confirmation message displays.

3 To delete these records, click Yes.

When deleting the data having the revision record, all the data relevant to it are deleted.

8.2.4. Moving Image Data
It is possible to move the photography data to any other patient ID.

1 Select the photography data to be moved from the [OCT Data List] panel to highlight it.

2 Click the [Move Data] button, and the [Select the data destination patient] dialog box is displayed.
Select the patient ID as the destination of the moved data.

3 Click the [OK] button.

Report is not moved. Make a report again if necessary.

8.2.5. To Delete Patients with No Image Data:
This function is used to delete all patients with no image data from a database.

1 Click Delete patients with no records, located just below the Patient Search panel.

2 Select the desired patient record(s) to be deleted from the Delete patients window by highlighting
the desired record(s).
To select all records, click Select All.

3 Click Delete... to delete the selected records.


The Delete Confirmation message displays.

4 To delete these records, click Yes.

8.3. Archive and Back Up
To initiate the Data Management process, select the Data Management icon on the ini-
tial menu and to initiate the Archiving/Backing Up process, click the Archive/Backup icon from the
tool bar.

8.3.1. Archiving Process


To Transfer Image Files from [System Database] to [Archive Disk]

1 Click on the Archive panel.

2 Archiving starts.

By clicking [Cancel] during archiving, archiving can be suspended. Archiving has been
done until you click [Cancel]. Then, by clicking [Archive], archiving can be resumed from
the suspension point.

3 Once process is complete, the following message displays.

The 3D OCT-2000 software supports multiple archive drives. Once the current archive drive is
full, it will move to the next available archive drive alphabetically, as previously defined in the con-
figuration program.

When the automatic archive tool is active, the [Archive] button is not usable.

8.3.2. Copying Image Files
To Copy Image Files from [Archive Disk] to [CD/DVD]

1 On the Burn CD/DVD panel, select the folder you wish to burn.

"False" indicates that those files have not been burned to a CD/DVD. Once they have been
copied in a CD or DVD, the status will change to "True".

2 Click .

3 Insert the displayed medium (CD or DVD) and click

4 Select the desired burner drive from the Burning Drive drop-down list, and then click .

6 After copying is completed, the following screen appears. Click to finish copying.

Once you have burned a CD/DVD, the folder status for the burned CD/DVD changes to
True from "False".

8.4. Data Convert
To initiate the Data Management process, select the Data Management icon on the ini-
tial menu. To utilize the Data Convert process, select [DataConvert] icon from the tool bar.

Once "Data Convert" is reserved, the reservation icon is indicated beside the [Data Management]
button.

3 After checking the setting, press the [Reserve] button.

4 "Data Convert" is executed according to "Schedule". Regardless of the start of 3D OCT, when 60
seconds have passed since "Data Convert" started, a message is displayed.

When you want to start "Data Convert" before the reserved start time, press the [Start] button.
"Data Convert" will start.

When clicking the [Stop the Data Convert] button, "Data Convert" of the day is canceled.
When the system reaches the "Data Convert" finish time, "Data Convert" stops after the data analysis
has been finished. Then, the system shifts to the Select screen.

8.4.3. Scan length compensation
Carry out setting as mentioned below when adjusting the scan size of the 3D data that was photo-
graphed by 3D OCT-1000/1000 MARK II from 6.0mm.

Registration list

Perform the following setting on the scan size changing screen and press the [OK] button. The set-
ting is saved.

10. 3D OCT-1 PC SOFTWARE LICENSE TERMS
PLEASE READ THE FOLLOWING “LICENSE TERMS” CAREFULLY BEFORE USING OR INSTALLING
THIS SOFTWARE!

To use the 3D OCT-1 PC software, the third party’s software that is specified by the instruction manual
and others is necessary. You (“USER”) must prepare for this software on his/her own responsibility, and
contract directly with the licenser of the third party's software. When you use the third party’s software,
not the following "LICENSE TERMS" but the items of the end user license contract with the licenser of the
third party’s software will be applied to you (“USER”).

ANY AND ALL TERMS AND CONDITIONS OF THE “LICENSE TERMS” SHALL BE DEEMED TO BE
ACCEPTED AND AGREED BY YOU IF YOU USE OR INSTALL THIS SOFTWARE.

The 3D OCT-1 PC Software, including its instruction manual and other documents, contained in this pack-
age comprises copyrightable works of TOPCON CORPORATION protected by copyright laws and is
licensed, not sold. TOPCON CORPORATION grants to you the right to use this 3D OCT-1 Software under
the terms and conditions outlined below.

LICENSE TERMS

1. LICENSE
Subject to the terms and conditions outlined in these LICENSE TERMS, TOPCON CORPORATION
(“TOPCON”) hereby grants to you (“USER”) a non-exclusive and non-transferable license to use the
3D OCT-1 PC Software including its instruction manual and other documents contained in this package
(separately or collectively the “SOFTWARE”) only on:
(1) (a) a stand-alone-type single computer, or
(b) a single work station that is connected with a computer network(s), and in which this
SOFTWARE is or will be installed; or
(2) (2)work stations, in each of which the SOFTWARE is or will be installed, and the number of
which is limited to that of the original copies of the SOFTWARE contained in this package corre-
sponding to the number of users to be allowed to use it under these LICENSE TERMS when this
package is so supplied as the "multi-user" type for a computer network.

Note: If the USER desires to install the SOFTWARE into a network server of the computer net-
work, USER shall additionally purchase the package containing the SOFTWARE for said
network server.

The said stand-alone-type single computer and work stations mentioned in (1) (a), (b) and (2) of this
Section 1, respectively, are hereinafter separately or collectively referred to as the “COMPUTER.”

To use the SOFTWARE, USER shall accept the following items.


• USER must prepare for the third party's software that is specified by the instruction manual and oth-
ers on his/her own responsibility.
• USER must contract directly with the licenser of the third party's software.
• When using the third party’s software, not these "LICENSE TERMS" but the items of the end user
license contract with the licenser of the third party's software shall be applied to USER.

2. RESTRICTION
2.1 USER shall NOT:
(1) use the SOFTWARE on or with
(a) any computer or machine other than the COMPUTER, or
(b) more than one COMPUTER at a time, or
(c) any computer network under non-compliance with the provisions set out in Section 1(2) above;
or
(2) make any copy of the SOFTWARE, except for installing of the SOFTWARE into the COM-
PUTER's internal or external hard disk drive; or
(3) sell, assign, exchange, pass, rent, lease or otherwise dispose of the SOFTWARE, or assign or
sub-license any right to use the SOFTWARE to anyone else; or
(4) adapt, modify or alter the SOFTWARE, or merge any program with the SOFTWARE, or make any
derivative from the SOFTWARE; or
(5) remove, erase or make unclear any copyright notice of the SOFTWARE; or
(6) analyze or make reverse-engineering to, the SOFTWARE by decompiling or disassembling it.
2.2 In any event that USER exchanges, or sells, assigns, passes, rents, leases or otherwise disposes of
to any third party, or scraps the COMPUTER or any its internal or external hard disk drive or other
memory means in which the SOFTWARE has been installed, USER shall destroy or erase any and all
of the said installed SOFTWARE prior to said exchange.

3. EXCHANGING OF MEMORY MEANS, ETC.


3.1 If USER desires to exchange, extend, divide or reformat the COMPUTER’s internal or external hard
disk drive or other memory means in which the SOFTWARE has been installed, USER shall so notify
TOPCON in writing directly or through its subsidiary, affiliate, distributor or agent prior to said refor-
mat, etc. TOPCON will instruct, if necessary, USER to return the original copy of the SOFTWARE
contained in this package and re-install the same when TOPCON has received said notice from
USER.
3.2 IN NO EVENT SHALL TOPCON OR ITS SUBSIDIARIES, AFFILIATES, DISTRIBUTORS OR
AGENTS BE RESPONSIBLE OR LIABLE FOR ANY DAMAGES OR LOSSES ARISING OUT OF,
RESULTING FROM OR IN CONNECTION WITH ANY OF THE ACTS MENTIONED ABOVE IF IT IS
DONE BY USER WITHOUT SAID NOTICE, OR IN NON-COMPLIANCE WITH ANY INSTRUCTION
FROM TOPCON.

4. COPYRIGHT
The SOFTWARE is the exclusive property of TOPCON, and full title, ownership and interests and
copyrights thereof shall remain vested with TOPCON at any and all times.

5. TERM
These LICENSE TERMS shall commence on the date when the SOFTWARE is first used or installed
by USER, and shall remain in full force until the termination hereof pursuant to the provisions set out in
Section 6.1 below.

6. TERMINATION
These LICENSE TERMS shall be forthwith terminated if:
6.1 (1) USER decides to cease use of the SOFTWARE (in this event, USER shall, without delay, notify
TOPCON in writing of such decision ); or
(2) USER fails to comply with any term or condition of these LICENSE TERMS.
6.2 Upon any termination of these LICENSE TERMS, USER shall immediately cease to use the SOFT-
WARE in any manner, and shall promptly, at USER’s expense, return to TOPCON directly or through
its subsidiary, affiliate, distributor or agent, or destroy at TOPCON's option, the SOFTWARE and any
and all copies thereof (if any). USER shall notify TOPCON in writing of this together with a written cer-
tification of its completion or destruction if the destruction is requested by TOPCON. Any memory paid
by USER shall not be refunded after use or installation by USER of the SOFTWARE for any reason
whatsoever including any termination of these LICENSE TERMS.
6.3 Any and all provisions set out in Sections 2.2, 3.2, 4, 6.2 and 7 through 10 shall survive any termina-
tion of these LICENSE TERMS.

7. LIMITED WARRANTY
7.1 In the event that a hidden material defect is found by USER, USER shall notify TOPCON in writing of
such defect directly or through its subsidiary, affiliate, distributor or agent within ninety (90) days after
USER has received the SOFTWARE. TOPCON shall, at its sole discretion, elect to either repair such
defect, or exchange with new software, with no charge to USER, subject to the condition that TOP-
CON has confirmed the existence of such defect which is attributable to TOPCON and has judged
that such defect is material.

TOPCON shall not be liable for any and all obligations under this Section 7.1 if
(1) the hidden defect is not notified within said ninety (90)-day period, or
(2) any defect has arisen out of, resulted from or in connection with any abuse, misuse, acci-
dent, neglect or unauthorized use or repair, or any other improper use, etc. which is not
attributable to TOPCON.
7.2 THE SOFTWARE IS PROVIDED ON AN “AS IS” BASIS WITHOUT WARRANTY OF ANY KIND.
TOPCON FURTHER DISCLAIMS ALL WARRANTIES, INCLUDING, WITHOUT LIMITATION, ANY
IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND
NON-INFRINGEMENT, EXCEPT AS OTHERWISE EXPRESSLY PROVIDED HEREIN.

THE ENTIRE RISK ARISING OUT OF, RESULTING FROM OR IN CONNECTION WITH THE USE
OR PERFORMANCE OF THE SOFTWARE REMAINS WITH THE USER. IN NO EVENT SHALL
TOPCON OR ITS SUBSIDIARIES, AFFILIATES, DISTRIBUTORS OR AGENTS BE LIABLE FOR
ANY CONSEQUENTIAL, INCIDENTAL, DIRECT, INDIRECT, SPECIAL, PUNITIVE, OR OTHER
DAMAGES WHATSOEVER (INCLUDING, WITHOUT LIMITATION, DAMAGES FOR LOSS OF BUSI-
NESS PROFITS, BUSINESS INTERRUPTION, LOSS OF MEDICAL, CLINICAL OR BUSINESS
INFORMATION, OR OTHER PECUNIARY LOSS, OR PERSONAL INJURY OR PROPERTY DAM-
AGE) ARISING OUT OF, RESULTING FROM OR IN CONNECTION WITH THESE LICENSE
TERMS OR THE USE OF OR INABILITY TO USE THE SOFTWARE.

8. COMPLIANCE WITH EXPORT CONTROL LAWS
Any and all exports or re-exports of the SOFTWARE are subject to Japanese Exchange and Foreign
Trade Law and other Japanese-related laws and regulations, and/or the United States Export Adminis-
tration Act, its implementing regulations as well as other U.S. export laws and regulations. Export or re-
export of the SOFTWARE in a manner contrary to either Japanese or U.S. law or regulation is strictly
prohibited.

USER shall not export nor re-export to any country the SOFTWARE or any part or copy thereof without
first obtaining all required authorization from the Japanese or United States government.

In addition, with respect to export and re-export of the SOFTWARE, USER shall observe and comply
with any other applicable export laws and regulations of any other countries and shall not export nor re-
export to any country the SOFTWARE or any part or copy thereof in a manner contrary to any other
applicable export laws and regulations of any other countries.

TOPCON OR ITS SUBSIDIARIES, AFFILIATES, DISTRIBUTORS AND AGENTS SHALL NOT BE


RESPONSIBLE NOR LIABLE TO USER FOR ANY LIABILITY, LOSS, DAMAGE, PUNISHMENT, OR
PENALTY ARISING OUT OF OR RESULTING FROM USER'S VIOLATION OF OR NON-COMPLI-
ANCE WITH ANY JAPANESE, U.S. OR OTHER APPLICABLE COUNTRY'S EXPORT CONTROL
LAWS OR REGULATIONS.

9. GOVERNING LAW
The validity, performance, construction, interpretation, effect and enforcement of these LICENSE
TERMS shall be governed by and under the laws of Japan.

10. ENTIRE AGREEMENT


These LICENSE TERMS constitute the entire agreement between USER and TOPCON with respect to
the subject matter hereof, and shall supersede and cancel any and all prior written or oral agreements,
undertakings, negotiations, communications, commitments, representations, publications and adver-
tisement, etc. not specifically and expressly incorporated herein.

SOFTWARE LIMITATIONS

1. Such a message may be displayed while the software is in operation.


Click "Don't Send" button. Finish the software.
There is no influence on the saved measurement data. Restart the software and analyze the measure-
ment data again.

2. Please do not capture when you save the capture data. (While displaying )
You occasionally fail in capture.

3. If the following display appears, please restart the program.

4. If the memory is not enough, please restart the program.

5. When analyzing, please do not change the following setting.
"Volume Scale" and "B-Scan Scale" in "Display" of "Options"

6. It is necessary to install "Internet Explorer Version 8 (IE8)" or "Internet Explorer Version 9 (IE9)" in the
personal computer for 3D OCT. If any other browser except these is used, the report cannot be output
properly from time to time.

7. If you perform the following actions while the report is displayed, the report is not displayed correctly
from time to time.
• Turning on/off (connecting/disconnecting) the printer
• Changing the setting for the printer that is usually used on Windows
In this case, return to the "Viewer" screen and display the report again.

8. Sometimes the "FastMap (PC)" grabber timer does not count though the counter on the OCT instru-
ment operates in the fundus grabber mode.
In this case, it is probable that LAN is disconnected temporarily. After checking the LAN connection,
finish "FastMap (PC)" to finish the procedure. Then, restart the procedure with [Capture Data].

9. Sometimes the "FastMap (PC)" grabber is not activated though the OCT instrument takes a picture in
the fundus mode.
In this case, it is probable that LAN is disconnected temporarily. After checking the LAN connection,
finish "FastMap (PC)" to finish the procedure. Then, restart the procedure with [Capture Data].

10. When the OCT instrument and "FastMap (PC)" have already shifted to the photography mode, the
system does not take a picture occasionally though the operator presses the photography trigger.
In this case, it is probable that LAN is disconnected temporarily. After checking the LAN connection,
finish "FastMap (PC)" to finish the procedure. Then, restart the procedure with [Capture Data].

11. After pressing the [Capture Data] button, the system does not respond for 30 - 40 seconds. Then,
"3D OCT is not ready" is displayed. The probable causes are shown below.
• The OCT instrument is not turned on.
• The OCT instrument is turned on but the application program is in the start process.
• The application program has started but the LAN cable is not connected.
After checking the LAN connection, turn on the OCT instrument. Make sure that the application pro-
gram in the OCT instrument has started and then press the [Capture Data] button.

12. In the case of "Radial" and "Cross", the B-Scan image is sometimes displayed reversely on the analy-
sis report (New report) and "RawData" report (Old report).
The reason is that the B-Scan image direction is modified on the analysis report (New report) to make
diagnosis easier. There is no problem.

To start "TOP-OCT Configuration" and display the "Database" tab, select the items in the following order:

Study Drive
By copying the data specified in System Database, you can create the database of the specified data only.

A "Study Drive" cannot save data exceeding 1000. If data are beyond 1000, add a new "Study
Drive".

How to copy data to Study Drive
1. Start the 3D OCT and select the "Data Management" menu.
2. Select the created Study Drive on the combo box.
3. Select a data to be copied.
4. Click the [Copy To] button.

For changing to the created database, refer to "Changing Database" on P.192.

If you cannot use System Database temporarily due to the trouble on database or network, you
can take a picture and refer to the photography data by using Study Drive. After System Database
is recovered from the trouble status, copy data from Study Drive to System Database by the same
method as "How to copy data to Study Drive".

CD/DVD Drive
You can create a database to refer to the data archived in CD/DVD.
Specify the drive to which the archived disk should be inserted.

For changing to the created database, refer to "Changing Database" on P.192.

X-Drive
When you specify X-Drive, the archived data is not written in CD/DVD but in the specified drive.
When this database is set, data is not written in CD/DVD. If you want to write data in CD/DVD, delete this
database.

To refer to the data in the X-Drive, write the data into CD/DVD first. Then, refer to the data in the same
way as the CD/DVD drive.
