Project Proposal
1.1.Introduction
The Student Record Management system offer Registrar with a unified view of data from
multiple sources. The main objective of this project is to build a student database system that will
store records of students. It is purposed to reduce time spent on administrative tasks.

Web-based student records management system has therefore been introduced to improve the
efficiency, reliability, cost-effective exchange and management of students academic
transactions.the aim of this student registration system project is to build a student registration
system that will enable registration process.

1.2.Background
Cpu college commenced its operation with the name CPU Computer Training Center on 1992
G.C the center started delivering training service in certain tailor-made (short-term) programs.
By undertaking deep objective assesment of further training needs and making preparation in
terms of required material as well as human resouce the center was upgraded to a college level
on 1994 E.C in various field of studying with degrees ,diplomas and certificates in regular and
extension classes.

Cpu college initiated as a small computer training center has now beome a credible insitution
offering robust diploma, udergratuate and graduate programs. In 2009E.C CPU is celebrating its
25 year of providing quality education for the community.Beginning with a campus at arat kilo
opposite Tourist Hotel, the college has grown to become fully accredited campus and an
educational center. Once occupying a second floor of small building, CPU college is now
operating in more than three educational buildings/spaces in addition to the place where it all
started. Through its short term trainig program, well over23,000 students have been trained since
its establishment 25 years back at the same time, since 2002, CPU College has awarded degrees
and diplomas/cetifiates to over 9000 students, CPU College has served distinct students in those
twenty-five years coming from all walks of life (public and private sectors).

This milestone is a wonderful oppurtunity to scrutinize our achievements in preparing students to

serve their communities as teachers, bankers, small business owners, public and private sectors
empoyees and a host of other careers. The Silver jubilee therefore provide us an opportunity to
celebrate the work of the college over the last 25 years as well as to looking to the future and
sharing their plans for what comes next.

CPU launched its new strategy in 2016. This include a continued commitment to developing the
academic and research activity and community services.they will expand their social
enterpreneurship and education work – creating a dynamic and unique relationship between the
college and industry and the communities around the school by enhancing partnership and
collaboration.

The year 2017/2018 marks the beginning of a new chapter in terms of horizontal and vertical
expansion of various academic program. In addition to the Accounting and Computer science
pre-exiting udergratuate program, 2 new postgraduate programs Maters of Business
Administration and Masters of Software Engineering (MBA and MSE) and 2 new undergratuate
programs (Business Management and Marketing Management) were CPU will continue to build
and expand the program both at under graduate and graduate level with a view to attaining their
vision of becoming a university college in the near feature. They will build on existing and
develop new strategic partnership with national and overseas institution to support their work
and attaining their institutional strategic goal.

1.3.Statement of the problem and Justification

Even if the college has the responsibilities of keeping standardize education in order to create
educated students, since the manual system encounters a number of problems as the number of
students getting to college are growing tremendously. Among many of college problems, the
following have been identified as major problems by the project team.

 Manaual based system

 Poor data retrival and store system.
 Low security features which endanger file integrity.
 Relatively high cost expense
 They use physical file storage and Ms- Excel which is backward mangement system.
  They have softcopy and hard copy recovery system which can be easily damaged or
stolen.
 In order to fix a problem a student must be physcal present to the regestraral office and
that is very time consuming.
 User dissatsfaction

All of the above problems are going to be fixed by our system. The approch has no
Database Management system (DBMS) rather use Ms - EXCEL. But Our system is going
to have a DBMS which will reduce the amout of dataloss and redendency. Inaddition to
this it will optimize energy,cost and time. And also provie security accoring to
confidentiality integrity authentication (CIA).traditionally file are stored in the hard drive
and can easily be dameged or lost. complaning issues were though to do for students
since they have to be in the registral office in person which is way of time waisting.

1.4.Objective of the project

The objective of our project is generalized into two major classes. These are:

1.4.1 General objective

The general objective of this project is to develop web based student record management system
for cpu post graduate Program.

1.4.2 Specific objective

The following are specific objective of the project :

 Document analysis
 Study the existing system
 Analysis the requirements

 Implement the system with appropriate tool

 1.5.Scope of the project
The scope of this project is to develop a web based student recored management system for cpu
post graduate registrar regarding to:

 Online registration
 Access student information online, but no one can access someones information without
authintication and authorized privilage
 Add and drop course
 Assign class and final exam schedule
 Calculate commulative grade point average CGPA for student grade report
 The system does not include finance and related issue

1.6.System Development Methodology

We use waterfall model to do this project:
The waterfall Model is a linear sequential flow.
Feasibility analysis - requirements analysis and project planning - system design - coding –
testing system installation
 After system installation, the regular operation and maintenance of the system takes
place.
 Advantages of this model is:
 its simplicity.
 divides the large task of building a software system into a series of cleanly
divided phases, each phase dealing with a separate logical concern.
 It is also easy to administer

1.6.1. Investigation (Fact-Finding) Methods

Fact finding is a method of acquiring the needed information’s that are essential to design the
system. The identification of system problem and solution requirements will be conducted by
observing the working environment, interviewing the college society, students and instractors.
To collect data, we used the following data collection methods:

 Interview: - We interviewed the workers how the existing system is functioning, what it
looks like, how records are keeping and the layout of the whole work of them.
 Observation: - We observed that how records of the existing system in the college are
managed. We had followed direct observational technique to gain the problem of the
work of the existing system.
 Document Analysis: - We analyze different type of document in order to get accurate
and efficient data to do this project.

1.7 Significance of Project

At the end of this project the system will provide the following significance for the users.

 The resulting system will yield higher educational accountability and enables the college
provide a quality service to the users.
 To establish better communication among the registral, students and instructors.
 The authorized and responsible bodies can find student information easily.
 Any file can be accessed at any time and found easily so it reduces time consuming.
 It makes students to focus on their academic success and keep out of themselves from
forbidden activities since they fell that they are being watched by the responsible bodies.

1.7. Beneficiaries
The main beneficiaries from this project are:

 Students:-They can easily get academic information, college message and other
information about themselves using their registration number.
 Instuctor: - They can make a good and simple communication with registral. They can
easily Grade student and can manage their information too.
 Registral : - They are going to get a hudge relife on their workload and can easily do their
specific jobs with ease.
 Our College:-It may get a good technology development and broadcasting the resources
and upgrade there backwarded system.
