Executive Summary
Randiya distilleries is in the process of evaluating a vendor to build a system that they can manage their internal
production process, inventory processes, HR practices & Financial reporting. Their Day to day production process
must be addressed by the proposing system in order to improve their productivity of the company.
This project is an overall system solution designed for the Randiya Distilleries. That is designed focusing on enhancing
productivity and transparency of regular activities. The solution handles tracking and monitoring the overall process
of the Randiya distilleries covering sales, inventory, production monitoring and HR aspects of regular activities at
Randiya distilleries.
Capricon would orchestrate the development process of the system and deploy it for use of the Randiya Distilleries.
If the solution approved the project will be funded by Randiya distilleries as segments upon completion.
This document covers only the scope of work that Capricon Private Limited will deliver in proposing system.

Scope
The Scope of this project falls into five categories:
1. Production & Inventory Process
This step consist the requirement of live production monitoring, Inventory management, stock movements
and measures and production statics.
2. HR practices
Employee profiles maintain, Attendance monitoring, leave managements & payroll data will be covered in
this step.
3. Reporting
All production, Financial, HR & Management reporting requirements will be covered here.
4. Hardware infrastructure
All data reading devices, networking components which are used for data reading and connectivity.
5. Testing
Test overall and individual functionalities along with the proposing system.
Production & Inventory Process
In order to automate and manage production and inventory process company production infrastructure must
configure and setup to capture production material movement, finished goods, delivery process and address the
business objectives. Followings are the high-level steps that is covering this segment by Capricon.
Record all Material movements
Setup Hardware for production reading purposes
Capture production cycle and identifies damages
Record all finished goods movements and lost goods
Test Data validity and Provide reports for the relevant

HR Practices
New recruitments, Leave, EPF/ETF, Attendance, Resignations etc. must be recorded and the proposing system is able
to record all the HR data to provide smooth operation inside the company. High-level steps as follows,
Define process to record all HR tasks
Develop availability in the system to input all recorded tasks
Provide reporting, including Payroll purpose
Availability to generate pay slip

Reporting
This includes all the reporting data summarizing and configure availability to extract such reports for relevant parties
in the company.
Gather all summarized data from different DB tables
Develop standard fixed reporting line for each department
Develop custom reports extracting capability for management purposes
Component Testing
Hardware Infrastructure
This includes the all required hardware for the proposing solution. Such as Industrial QR printer, Industrial Scanners,
Rugged Monitor, sensors etc.
Inspect and select most suitable devices
Install all devices and test for functionality
Testing
In this step each component of the system must be tested, overall functionalities along with hardware and business
process must take up to expected level on this stage.

Proposed System High-level Architecture Diagram
Above figure shows high-level infrastructural architecture for proposed system for Randiya Distilleries. All client
components are connecting through Internet Leased line with SSL encryption. Internal cloud base firewall is
configured for security purposes. Two application servers & two Database servers are included for production
runtime and for backup purposes.

Delivery of Services
All system will be delivered as web-based system with industrial hardware which are used for industrial purposes.
System will be accessible from any location. Deliverables are listed as modules below.
Deliverables
Production line process monitoring module
Detail display the live production details such as Total production, wastages, QA fails and Net production on
a monitor inside the factory.
Material inventory management module
Material purchases, usage, wastages and relating figures like generating purchase requests, receive notes of
material etc. are delivered by this module of the proposed system.
Sales inventory management module:
Finished goods sales, stock balances, Current stock and related figures such as delivery notes, return notes
etc. are covered in detail view.
Overall reporting module
Production, Inventory, Attendance & Payroll with financial reporting figures that required for management
purposes, forecasting, Consuming reports for purchasing, Cost analysis etc. are delivered by this module.
Administrative module
Role-base access creating for Randiya staff as per there designations. Separate access will be granted for
separate roles. Example, Chairman has the full access to the system and storekeeper has only limited access
relating to inventory management.
Production planning module
Data analysis capability for production planning, such as weekly sales, most selling items, most purchasing
distributer, amount of direct sales etc.
Material forecasting
Data analysis capability for material usage, such as Timely material consumption and wastages, most using
material, average of material consumption etc.
Human resource management
Attendance monitoring, Employee profile, Payroll detail can be recorded for reporting and better
accountability purposes.

Assumptions
This section captures the key assumptions and exclusions for the proposed scope of work. Clarification and
acknowledgment of assumptions in this section is important to shaping this engagement. Before
proceeding with securing a contract, these assumptions must be identified and accepted by all parties. Any
adaptation to these assumptions will alter the estimated project approach, staffing level, cost and
potentially the timeline.
Responsibilities: Randiya Distilleries
Randiya distilleries would fund the entirety of the proposed project whereby Capricon Solutions would provide a
complete software solution in the form of process management system as described in this document. In addition,
Randiya distilleries would provide the following in order to facilitate this engagement.
Full access to relevant functional, technical and business resources, with adequate skills and knowledge
to support the Capricon Solutions project team
Site visits must be allowed for Capricon solutions to gather any specific requirement or for testing
implementation.
Industrial Hardware (QR printers, QR readers, Monitor, Thumb reader) and Network equipment (PoE
Switch – 1 (Configurable), Network router – 1 (Configurable), Reliable internet connection, UPS/ Power
Inverter) should provide by Randiya Distilleries.
Randiya distilleries would provide a path to engage with other vendors in order to resolution of issues
that constrain Capricon solution from making timely deliveries.
All queries raised by Capricon solutions consultants will be responded to by Randiya distilleries within
two working days
Deliverables requiring review from Randiya distilleries to be signed-off by appropriate Randiya team
members within 2 working days to enable Capricon solutions to proceed from one stage to the next
Randiya distilleries shall approve and sign-off Requirement Confirmation documents, which will define
the scope against which acceptance of the solution will be performed during testing. Any more detailed
specifications will replace any previous requirements or specifications document. Acceptance is always
against (and only against) the latest signed off specification

Project Assumptions
The estimates for the project are based on standard business hours: (9:00AM to 5:00PM; Mon-Fri)
Engagement Assumptions
System will be developed only aligning to the approved requirement document, additional requirements
fulfillment will change the timeline and cost.
Capricon solution have assumed there will not be any discontinuation in the full project implementation
cycle. If there will be any discontinuation in the project at any point for any duration by Randiya
distilleries, for a reason that Capricon solutions is not liable, Randiya distilleries liable to pay the cost
based on the time, the Capricon solutions spend on the project .
Capricon solutions will be liable to keep Randiya distilleries confidentiality of the internal details and
processes which are provided for the accuracy of the system.
Randiya distilleries would cover any project related costs, such as domain purchasing, SSL certificates,
Hardware etc. incurred by Capricon solutions whilst delivering this project.
Capricon solutions will provide support for bug fixes of the system for 3 months free, if any service level
agreement or support agreement not signed.
Project Scope
The project scope defined in the Deliverables in this document will be followed for the implementation
Capricon solutions acknowledges that any tasks or activities, that are not explicitly specified under the
“Scope” section of this document is considered out of scope of this engagement and may incur
additional costs
The costing detailed in this document does not account for an on-going service agreement or
maintenance of the dashboard or predictive models. A separate service agreement could be provided if
such services are required
Any changes to the project plan will need to go through a Change Request Management Process and
may have impact to the estimated project approach, staffing level and cost
Changes to the scope of work to be delivered must be mutually agreed upon and approved jointly by
Capricon solutions, Randiya Distilleries in writing. Randiya Distilleries must understand that changes to
scope may result in additional effort/cost and will necessitate a Project Change Management Process
Capricon Solutions only provides the software and related sensors regarding the required solution.
All features that are provided by the system will be reviewed and approved by the Randiya Distilleries
before delivery.
Overall formatting (color templates etc.) to be discussed with Randiya distilleries before dashboards are
built

All necessary images would be provided by Randiya distilleries or sourced from 'free to share' sites as
needed
System related Operating systems, Web server software and DB software, Divers & utility software will
be provided by Capricon solution
Workplace & Environment
Capricon solutions assumes the development is at one central location – Capricon solutions office
Randiya distilleries would need to provide premises access for Testing, Hardware setup and
implementations when requires.
Availability of Subject Matter Experts
Capricon solutions will make available adequately qualified Subject Matter Experts (functional areas and
source system experts) to resolve the queries that may arise during any stage of the project; any such
queries will be resolved within 2 working days.
Testing
All functionalities of the system will be tested before deliver & UAT testing will be done before
completing a milestone.
Training
Capricon solutions will provide necessary facilities for training, provided for end-users; any
technical/development training would be provided to Randiya distilleries from Capricon.
Out of Scope
System will provide accounting related figures/Reports only. It only provide details that supports for
accounts department.
Infrastructural setup is not covered by proposed solution, only software/system & system functional
hardware provided.
Attendance, Employee profile and basic payroll functions only provided by mentioned HR facilities in the
solution/system.

This section outline the tasks involved in the project and the schedule for the development of a remittances data
mart and subsequent dashboard development. It should be noted that the indicated task durations are estimates
only; based on the assumptions set out in this proposal. Actual project duration may vary.
