INTRODUCTION
Front office operation is an important part in every business under the hospitality
and tourism sector. It involves skills, knowledge, and right attitude when you are assigned
as staff or personnel in this area.

In this lesson, we can learn about and be familiarized with the types and functions of
basic tools, equipment and paraphernalia.

Words to Remember

 Non- automated equipment- these are format and procedure that are done
manually.
 Semi-automated equipment- this system uses some electro-mechanical equipment.
 Automated equipment- it’s the excessive use of department software package and
hardware where equipment are connected and produces output automatically.
 Front desk counter- is a part of the hotel situated in front of the main entrance
where transactions with guests, the check-in, are handled.
 Guest folio tray- is where guest folios are stored and arranged by guest room
numbers.
 Racks- can be an array of compartments for storing key, reservation forms,
information, and registration.
 Voucher- is a form or check indicationg credit againts future purchases or
expneditures.
 Private Automatic Branch Exchange- is an automatic telephone switching system
used by a telephone operator.
 Reservation- is an arrangement to have something and be used in future time.
 Paraphernalia- are objects that are used for a particular activity.

Types and Functions of Tools, Classification, of Tools,


Equipment and Paraphernalia

Front office services tools, equipment and paraphernalia are classified into three
types. The non-automated, semi-automated, and automated

Non-automated Equipment

1. Room Rack- is where registration records are inserted and serve as room rack
slips. It is an array of metal file pockets designed to hold room rack slips that
display guest room status information.
2. Key Rack- is an array of numbered compartments used to store guest room keys.
3. Information Rack- is an aluminum slot designed to hold guest information slips
that consists of guest name and room number.
4. Folio Tray- is a bucket where the guest folios are kept and arranged by guest
room number. Once the accounts are settled the folio are moved to permanent
locations.
5. Voucher Rack- is a container of voucher. These vouchers are used for future
reference and verifications during money verifier or for night audit.
6. Money Verifier- also called as money detector, is a device used to determine
whether bank notes are genuine or counterfeit.
7. Safety Deposit Box-is storage for safekeeping of important things of the guests.

Semi-automated Equipment

1. Account Posting Machines- is used to post, monitor, and balance charges and
credit guest accounts.
2. Telephone Equipment- consists of call accounting system, private automatic
branch exchange, fax machine and others.
3. Credit Card Reader- is a device used to read magnet stripe or magnetic stripe
reader for credit cards. It scans data magnetically encoded and stored on the
credit card.

Automated Equipment

1. Security Monitor – or closed- circuit television (CCTV) camera for security


personnel to monitor certain areas of the hotel.
2. Multi-zone Clocks- indicators of the time at different time zones around the
world.
3. Computers- the most useful electronic device in the front office. It inputs data
regarding reservations, bookings, emails, and surfing the net; stores and
processes information regarding guests.
4. Printers- attached to the computer to print hard copies of documents, print outs,
and receipt for record- keeping purposes.
5. Cash Register- for registering and calculating transactions; usually with a drawer
attached to store cash and other valuables.
6. Software (Computer Reservation System- CRS) – booking and reservation
system.
