SEVEN PROCESSES

• Starting up a project
o Ensures that the prerequisites for initiating a project are in place by determining if the
project is viable and worthwhile
• Initiating a project
o Establishes a solid foundation for the project and to enable the organization to
understand the work that needs to be done to deliver the project’s products before
committing to a significant spend
• Directing a project
o Enables the project board to be accountable for the project’s success by making key
decisions and exercising overall control while delegating day-to-day management of the
project
• Managing a stage boundary
o Enables the project manager to provide the project board with sufficient to determine
if the project should continue to the next stage
• Managing product delivery
o Controls the link between the project manager and the team manager(s) by agreeing
the requirements for acceptance, execution, and delivery
• Closing a project
o Provides a fixed point at which acceptance for the project product is confirmed, and to
recognize that objectives set out in the original project initiation documentation have
been achieved

MANAGEMENT PRODUCTS IN PRINCE2

• Business case
o A document that provides the justification for starting and continuing the project

• Checkpoint report
o A report that a team manager creates and sends to the project manager with the current
status of their work packages

• Highlight report
o A report that the project manager creates and sends to the project board with the current
status of the stage plan

• Project brief
o Ensures the project has agreed upon and well-defined starting point

• Project initiation document


o A cornerstone document of a project that describes the plan of approach for project
management
o The project initiation document contains the following:
o Project plan
o Detailed business case
o Communication management approach
o Risk management approach
o Quality management approach
o Change control approach
o Project controls
o Any tailoring you are performing

• Project product description


o Document detailing exactly what the project will delivery, including the purpose,
composition, specifications, quality criteria, tolerance levels, and acceptance criteria

• Work package
o Provides a team manager with the tolerances required for product delivery

• Scrum method was first created back in 1995 by Schwaber and Sutherland

• Scrum provides transparency, inspection, and adaptation in a project


o Transparency
§ Significant aspects of the process must be visible to those responsible for the
outcome
o Inspection
§ Users must frequently inspect artifacts and progress toward a Sprint Goal
o Adaptation
§ Processes or materials should be adjusted as needed

• Scrum is self-organizing, cross-functional, flexible, creative, and productive

• Scrum teams consists of:


o Development team
§ Professionals who do the work to deliver a releasable Increment of “Done”
product each Sprint
o Product Owner
§ Responsible for maximizing the value of the product resulting from the work of
the Development Team
o Scrum Master
§ Servant-leader who promotes and supports Scrum

• Key terms in Scrum:


o Product backlog
o Something that is going to list all of the features, requirements, enhancements,
and all of the fixes that we propose for future releases
o Sprint backlog
o This is where we take a set of items from the product backlog and say they’re
going to be worked on during this specific time box known as a sprint
§ Which ones are ready for them to work on and which ones have the highest
priority
§ Part of our sprint is spent trying to make sure that we are always improving and
getting better
§ When they are finished, they are moved into review and eventually they become
part of a “done”, shippable product
• Increment
o Culmination of the product backlog items that were completed during this sprint

USING SCRUM

• Sprint
o The time-boxed event with a duration of one month or less in which work is performed
o Every sprint is the same amount of time, and you have to deliver a product by the end of
that sprint
• Sprint Planning
o A time-boxed event with a duration of 8 hours or less per month in which the plan for
the sprint is collaboratively created by the team
o Sprint planning is focused on determining what kind of work the team is going to do and
how the required work will be performed
• Daily Scrum
o A time-boxed event with a duration of 15 minutes or less each day in which the status of
work completed and to be completed is discussed
• Sprint Review
o Informal meeting held to inspect the increment and adapt the product backlog
o This meeting should be no longer than 4 hours per month of sprint
• Sprint Retrospective
o Used to create a plan for improvements to implement during the next sprint

KANBAN
• Kanban is a visual management systems that limit the number of work items in circulation

• Benefits of Kanban
o Improved day-to-day decision making
o Deferral of commitment
o Reduced lead times
o Visualization
o Limiting ‘Work in Progress’ (WIP)
o Manage the flow
o Making policies explicit
o Implement feedback loops
o Improve collaboratively, evolve experimentally

• Kanban utilizes ‘Work in Progress’ limits


o Avoids scheduling work at specific times, and instead it relies on a pull system of
demand
o Waste is removed as quickly as possible
o Policies evolve over time and migrate
o Value being delivered is ultimately going to be judged by the final customer of a product
o Quantitatively assessing this will directly affect what will subsequently be delivered
o We want to build on collaboration within our teams to encourage creativity and trying
new things
• Scrumban application of Kanban where the underlying process is based on Scrum
o Policies may exist for similar work items as flow may be more predictable

LEAN STARTUP
• Lean Startup is a methodology for developing business and products

• Benefits of Lean Startup


o Experimentation
o Iterative product releases
o “Fail fast, learn fast”
o Validated learning

• Minimum viable product


o A version of a product that allows the team to collect the maximum amount of validated
learning with least amount of effort
o Tests fundamental business hypotheses known as “leap-of-faith assumptions”

o Allows companies to determine quickly if an idea is really viable and worth continued
investment
o A MVP may not go into operational use and may be only considered an experiment

• Continuous development
o Produces something quickly, release it into production, and gain feedback in order to
iterate the next version
o Lean startup is extremely agile with releases happening up to several times per day
o Frequent releases can be dangerous to the security of your information systems

• Split Testing (A/B Testing)


o A different version of a product is created and offered in order to observe differences in
behavior between customer groups
o Testing should occur at the same time to minimize variables during the test
