Introduction

WELCOME!
Thank you for choosing Sherweb as your hosted services provider. The objective of this guide is to help you
successfully set up and start managing your partner account.

HOW TO USE THIS GUIDE


This is a step-by-step guide to your account configuration. Please follow the instructions in order.

In order to prevent permanent or partial data loss, we recommend that you carefully read
and follow the steps outlined in this guide. Sherweb is in no way responsible for data loss
if these steps are not followed. Please refer to our Master Service Agreement (MSA) for
further details.

PORTAL LOGIN
Before you begin, make sure that you have access to the portal to create, add and manage services, as well
as to set up your pricing options. Upon signing up, you should have received an activation email with an
admin username (e.g. defaultuser@yourdomain.com) and password. If you do not have your username and
password, please contact our sales team at 1-855-253-3213 or our support team at 1-888-567-6610.

A. Setting up your account and your clients’ services

STEP 1: ACCESS CUMULUS


Developed in-house, Cumulus is our web-based portal designed for partners to manage products, offers,
customer organizations and billing. From Cumulus, you can also access Sherweb’s Control Panel (CP).

Note: The Control Panel is the technical management console where you and your Hosted Exchange
customers can add or delete users and mailboxes, change permissions, administer domains, email aliases
and distribution lists, reallocate disk space, and perform other related operations.

a. Go to cumulus.sherweb.com.

b. Choose your preferred language.

c. Enter the username and password provided in your activation email, then click Login.

STEP 2: CREATE YOUR CLIENT’S ORGANIZATION


a. Click on Organizations and then New Client.

b. Enter the client’s name and click the check button.

c. The organization’s details page will open.

STEP 3: ENABLE THE CLIENT ORGANIZATION AND PROVISION SERVICES


a. Select the Offers tab and choose an offer from the list on the left. Double-click on the number (0 by
default) to enter the required number of seats for each desired plan within the offer. Alternatively, you can
use the up and down arrows.

Note: The total cost of selected services is updated automatically and visible at the top right of the screen.
Toggling between Your cost and Retail will show the amount we bill you versus the standard retail price.

If provisioning Office 365, continue to step b.


For Hosted Exchange, skip to step c.
For Performance Cloud, skip to step d.

b. For Office 365

• Select the Profile tab and enter your customer’s details. Be sure to complete all required fields.

• Go to the Platform Settings tab. Select Create a new Office 365 account. Enter the Domain Name and
the Email address of the administrator.

Note: If you’re onboarding your existing client from another Microsoft program, select I already have an
Office 365 account and provide your MPN ID when requested.

• Select Save Changes

Note: You will receive an email with further instructions.

c. For Hosted Exchange

• Select the Platform Settings tab.

• Select the Exchange platform from the list on the left. Provide the Domain Name. Choose the Data
Location (if required).

• Click Save Changes.

Note: You will receive an email with further instructions.

d. For Performance Cloud

• Add the email address of any co-administrator (your team members or people at your customer’s
organization) you wish to have access to Performance Cloud technical platform.

• Check the box I don’t want to invite any co-admin administrator at the moment if you plan to do this
step later.

• Select Save Changes.

Note: You will receive an email with further instructions.

Repeat the steps 2 and 3 for each client you wish to provision.

For any other platform, carefully follow the instructions on the screen.

STEP 4: CREATING, MODIFYING, DELETING USERS AND ASSIGNING LICENSES IN


OFFICE 365
You can now manage Office 365 users and licenses in Cumulus. This feature is enabled on every new Office
365 organization by default. You can easily disable it if you need to manage your licenses in the Office 365
Admin Portal.

Creating a user in Office 365

• To create a user in Office 365, first select Manage Office 365 to the right of the organization your wish to
manage.

• Select Create User.

• Fill in the required fields. You can assign a license immediately or come back to this step later. When you
have finished, click Create.

Note: Additional domains can only be added via the Office 365 Admin Portal.

• Once created, you can choose to email the user their temporary password.

Note: This is the last time the auto-generated password will be shown. If you choose not to email the
password at this time, you will need to reset it later.

Modifying a user in Office 365

• To modify a user in Office 365, first select Manage Office 365 to the right of the organization your wish to
manage, and then select the user from the list. Here you can modify personal information (e.g. first name,
last name, display name), assign, remove or change licenses, and reset passwords.

Note: If assigning licenses, make sure that you have purchased enough. Removing licenses here does not
automatically remove them from your billing. De-provisioned licenses can be assigned to other users.

Deleting a user in Office 365

• To delete a user in Office 365, first select Manage Office 365 to the right of the organization your wish to
manage, and then select Delete from the menu to the right of the user.

Note: Deleting a user also de-provisions any license assigned to them. Deleting a user does not
automatically remove the license from your billing. De-provisioned licenses can be assigned to other users.

Disabling Office 365 user management in Cumulus

The management of Office 365 users in Cumulus is enabled on every new Office 365 organization by default
and we recommend that you keep this setting turned on. If however, you need to manage users and licenses
in the Office 365 Admin Portal instead of in Cumulus, you can disable this feature.

• Select Manage Office 365 to the right of the organization your wish to manage.

• Select the Settings gear in the top right corner.

• Select the Enabled button.

Note: Once this feature is disabled, all user management, including password resets, must be performed
directly in the Office 365 Admin Portal. Click here to learn how.

STEP 5: CONFIGURATION COMPLETE

Congratulations! You have successfully configured your partner account and provisioned your first client’s
services.

a. Returning to the organizations list, you can see each organization’s status. When the system completes the
activation of all selected services, the status is Active.

b. To edit the offers for one client, click on the organization’s name.

c. To access the technical platform of a particular service (WAP portal for Performance Cloud, Control
Panel for Hosted Exchange/SharePoint/Lync platforms, etc.), hold your mouse over and click the button
corresponding to the platform.

Note: To access the Office 365 Admin Portal, use the previous step and then click on Office 365 Portal. You
will be redirected to the Office 365 login page.

You may at this point refer to our detailed configuration guides for Hosted Exchange, SharePoint, Lync,
Online Backup and Performance Cloud in the Partner Toolbox.

B. Managing your account

WHITE-LABEL CUSTOMIZATIONS
Sherweb’s partner programs allow you to easily customize and brand your solution. Here is a list of the

BRANDING YOUR CONTROL PANEL


Sherweb gives you full control over the appearance of your customer’s Control Panel. You can upload your
own company logo, brand the URLs and personalize its look and feel. Please note that in order to customize
your Control Panel, you must own and have access to your domain name and associated DNS.

To do so, click on Setup and then click on the Platform Setup tab.

Please be aware that if you wish to modify your plan names or change your password policies, you need to
contact our sales teams.

Cumulus is also where you manage your accounting information (account statements, invoices, billing
information, margins, etc.).

BILLING PROCESS
We bill you while you bill your customers. You are billed according to the number of days that licenses or
seats (mailboxes, Online Backup, Lync, etc.) were allocated to your organization within your billing cycle, NOT
the actual number of licenses provisioned or used by your client. For example:

Our fictitious reseller, Alex Brown of Contoso Systems Ltd., has received an order from a new client wishing
to use Exchange hosting. After some discovery and scoping with the client, it is determined that they will
need approximately 25 Exchange licenses. Using their account configuration guide, Alex decides to allocate
25 licenses for their client and sends them an automated welcome email, as well as a white-label Exchange
setup guide.

A week later, Alex contacts their client and discovers that they have successfully completed their Exchange
deployment and migration for all their users. Encouraged by the news, Alex decides to log into the Control
Panel to review the client’s work and sees that instead of provisioning all 25 allocated licenses, they used
only 21. Realizing that they will be billed for all 25 allocated licenses and not just for the ones provisioned,
Alex removes the four additional licenses to avoid unnecessary costs related to unused licenses.

HOW YOUR BILL IS DETERMINED


With Cumulus, you are billed on a monthly basis (a billing month can differ from a calendar month) for the
number of days a service was provisioned for an organization. Daily, at 12 a.m. EST, all services allocated to
your organizations are recorded as active and thus billed at the end of your billing cycle. Services created and
deleted within the same EST day (12 a.m. to 11:59 p.m.) will not be billed at the end of the month.

When deleting a user from the Control Panel, be aware that any previously attached license
de-provisioned ONLY and REMAINS allocated to the organization and available for use. That is,
if you do not wish to pay for the license further, you must remove it from the available pool of
allocated licenses for that organization through Cumulus.

Performance Cloud specifics

You are invoiced for your hourly usage, which accumulates throughout the month and the whole amount
is charged on the billing date. Bandwidth however, is billed by Gigabyte usage. There are no free trials of
Performance Cloud.

HOW YOU RECEIVE AND/OR REVIEW YOUR BILL


All account statements and invoices are emailed to either the Primary Account holder or the listed Billing
Manager contact. You can pay, view and print them at any time through Cumulus.

PARTNER REPORTS
In Cumulus, you can quickly and easily view the details of your partner account sorted by organization and
their active services.
