  • One skill separates great communicators from average ones: Perspective-taking. The ability to see things from someone else’s point of view. But most people do it wrong. Here’s how to do it right, especially when you’re leading or being led: When you’re the boss, persuading down: You’re trying to convince Maria on your team to do something different. She’s pushing back. Your instinct might be to assert your authority. But that’s a mistake. Here’s why… Research shows: The more powerful you feel, the worse your perspective-taking becomes. More power = less understanding. So if you want to persuade Maria, don’t lean into your title. Do the opposite: dial your power down, just briefly. Try this: Before the next conversation, remind yourself: Maria has power too. I need her buy-in. Maybe she sees something I don’t. Lower your feelings of power to raise your perspective. From that place, ask: → What does she see that I’m missing? → What might be in her way? → What’s a win-win outcome? That shift changes the entire dynamic. Instead of steamrolling, you’re collaborating. And that’s how you earn trust and results. Now flip it. You’re the employee persuading your boss. It’s a high-stakes moment. You’re nervous. So do you appeal to emotion? No. Drop the feelings. Focus on interests. Here’s the key question: “What’s in it for them?” Not how you feel. Not your big dream. → Will it save time? → Improve performance? → Help them hit their goals? Make it about their world, not yours. Why? Because every boss has a mental shortcut: → Does this employee make my life easier or harder? Be the person who brings clarity, ideas, and upside. Not complaints, drama, or friction. In summary: → Persuading down? Dial down your power to see clearer. → Persuading up? Focus on their interests, not your emotions. Perspective-taking is a superpower, if you learn how to use it. Now practice, practice, practice.

    I was shadowing a coaching client in her leadership meeting when I watched this brilliant woman apologize six times in 30 minutes. 1. “Sorry, this might be off-topic, but..." 2. “I'm could be wrong, but what if we..." 3. “Sorry again, I know we're running short on time..." 4. “I don't want to step on anyone's toes, but..." 5. “This is just my opinion, but..." 6. “Sorry if I'm being too pushy..." Her ideas? They were game-changing. Every single one. Here's what I've learned after decades of coaching women leaders: Women are masterful at reading the room and keeping everyone comfortable. It's a superpower. But when we consistently prioritize others' comfort over our own voice, we rob ourselves, and our teams, of our full contribution. The alternative isn't to become aggressive or dismissive. It's to practice “gracious assertion": • Replace "Sorry to interrupt" with "I'd like to add to that" • Replace "This might be stupid, but..." with "Here's another perspective" • Replace "I hope this makes sense" with "Let me know what questions you have" • Replace "I don't want to step on toes" with "I have a different approach" • Replace "This is just my opinion" with "Based on my experience" • Replace "Sorry if I'm being pushy" with "I feel strongly about this because" But how do you know if you're hitting the right note? Ask yourself these three questions: • Am I stating my needs clearly while respecting others' perspectives? (Assertive) • Am I dismissing others' input or bulldozing through objections? (Aggressive) • Am I hinting at what I want instead of directly asking for it? (Passive-aggressive) You can be considerate AND confident. You can make space for others AND take up space yourself.     There are always situations in which you need to communicate fast and clearly. Especially in a crisis, in new situations, or when there is time pressure. The STICC protocol helps you achieve this. The STICC Protocol was developed by psychologist Gary Klein as a tool for managing the unexpected. STICC stands for: Situation, Task, Intent, Concerns, Calibrate and is a technique for productive communication about what to do when you face a new, unexpected situation. This is what it means: S - Situation = Here’s what I think we face. The leader summarizes how they see the situation, problem, or crisis at hand. T - Task = Here’s what I think we should do. The leader explains their plan for addressing the situation, problem, or crisis at hand. I - Intent = Here’s why I think this is what we should do. The leader explains the reasons why they think this is the best way of addressing the situation, problem, or crisis at hand. C - Concerns = Here’s what we should keep our eyes on. The leader mentions possible downsides or future consequences of the solution suggested to be taken into account as well. C - Calibrate = Now talk to me and give me your views. The leader asks others in the team to give their feedback and viewpoints, and especially invites them to disagree and add. This technique helps you in managing pressured situations in three ways: First, once something unexpected happens, it helps to develop appropriate responses. The five steps are aimed at discussing with a team what to do in cases that are not familiar. Through its focus on concrete action, on gathering different viewpoints, and on speed, the STICC protocol is a quick way to take appropriate action in new situations. Second, in step 4 (Concerns), you open up the discussion for further uncertainties and other changes that may follow. In this way, you mentally prepare people that there will always remain uncertainties. This helps in developing a crisis-ready mindset that is not only helpful in the current crisis, but also in the next. Third, the fact that a constructive dialogue takes place also facilitates communication and mutual learning. Even though the leader brings the suggestions here, it is the team together that comes to a solution. And while doing that, they learn together and from each other in an open and adaptive way, which helps further prepare them for future crises.     🌳 Icons That Might Be Outdated In 2025. With slightly outdated icons that seem to be slowly replaced with more modern, but also more abstract alternatives. A striking observation neatly put together in one place by Sandro M. Sandro suggests that many icons that we've been using for over 10 years are being slowly replaced by new, different icons — not only in terms of style, but also the concepts that they represent. E.g. for filters, liquid funnel is replaced by a slider, and for sharing, network nodes are replaced by forward/reply arrow. I can only wholeheartedly agree with Sandro. Icons represent concepts that communicate a meaning. When concepts become outdated, so do the icons. And when an icon represents a legacy object, it becomes “old” and “dated”, just like the objects themselves. So unsurprisingly icons get replaced. But we don’t need to replace icons just to follow shiny new objects or design trends. As Kevin Standke noted in the comments, every icon has its own meaning, and even if we choose to use a very similar but different icon, we often change the meaning that we carry with it — often entirely subconsciously. Sometimes it works just fine, but sometimes it creates more confusion than older icons would — even if they might be utterly outdated. So choose icons to communicate what you want to say. And then test with your users via Banana testing or reaction cards to make sure they serve their purpose well. Be a difficult person to question previous choices. The more critical we are, the less likely we are to fall into the trap of wrongfully mapping our mental model to reality — communicating wrongly, or badly, or both. Ultimately, what works well for your users should decide what you choose. Not the other way around. So don’t feel like you have to change all icons altogether. Question the choices you make, test your icons and replace them if you must.     Do you ever find yourself more stressed when thinking about an event than the event itself? That’s ‘anticipatory anxiety.’ It’s like your brain is stuck in a “what if” loop. Most of my clients describe this exact feeling before big presentations, tough conversations or even social events. I’ve been there myself… I used to spend days imagining everything that could go wrong, which only made me feel more overwhelmed and unprepared. Turns out, the usual advice of “Just think positive” doesn’t help at all. Research shows that focusing ONLY on perfect outcomes can actually drain your energy, and make you less likely to achieve it. When your brain skips over the challenges, you’re left less prepared and even more anxious if things don’t go as planned (again, I’ve been there!). What finally worked for me (and our clients) was flipping the script. Acknowledge the worst-case scenario and plan your response: – What’s the backup if the tech fails? – How will you recover if the conversation takes a turn? – What will you do if you forget your script? You’re not necessarily expecting the worst, but being ready for it. The result is a calmer, more confident mindset going into it, and that makes all the difference. P.S.     𝐖𝐡𝐲 𝐝𝐨 𝐬𝐨𝐦𝐞 𝐩𝐞𝐨𝐩𝐥𝐞 𝐠𝐞𝐭 𝐩𝐫𝐨𝐦𝐨𝐭𝐞𝐝 𝐟𝐚𝐬𝐭𝐞𝐫, 𝐡𝐞𝐚𝐫𝐝 𝐦𝐨𝐫𝐞 𝐨𝐟𝐭𝐞𝐧, 𝐚𝐧𝐝 𝐭𝐫𝐮𝐬𝐭𝐞𝐝 𝐦𝐨𝐫𝐞 𝐝𝐞𝐞𝐩𝐥𝐲? Of all the topics people ask me about, executive presence is near the top of the list. The challenge with executive presence is that it’s hard to define. It’s not a checklist you can tick off. It’s more like taste or intuition. Some people develop it early. Others build it over time. More often, it’s a lack of context, coaching, or exposure to what “good” looks like. Here’s what I’ve learned over the years, both from getting it wrong and from watching others get it right. 1. 𝐋𝐚𝐧𝐝 𝐲𝐨𝐮𝐫 𝐦𝐞𝐬𝐬𝐚𝐠𝐞 People early in their careers often feel the need to prove they know the details. But executive presence isn’t about detail. It’s about clarity. If your message would sound the same to a peer, your manager, and your CEO, you’re not tailoring it enough. Meet your audience where they are. 2. 𝐔𝐩𝐥𝐞𝐯𝐞𝐥 𝐭𝐡𝐞 𝐜𝐨𝐧𝐯𝐞𝐫𝐬𝐚𝐭𝐢𝐨𝐧 Executives care about outcomes, strategy, and alignment. One of my teammates once struggled with this. Brilliant at the work, but too deep in the weeds to communicate its impact. With coaching, she learned to reframe her updates, and her influence grew exponentially. 3. 𝐔𝐧𝐝𝐞𝐫𝐬𝐭𝐚𝐧𝐝 𝐭𝐡𝐞 𝐬𝐮𝐛𝐭𝐞𝐱𝐭 Every meeting has an undercurrent: past dynamics, relationships, history. Navigating this well often requires a trusted guide who can explain what’s going on behind the scenes. 4. 𝐏𝐫𝐨𝐯𝐢𝐝𝐞 𝐜𝐨𝐧𝐭𝐞𝐱𝐭 Just because something is your entire world doesn’t mean others know about it. I’ve had conversations where I assumed someone knew what I was talking about, but they didn't. Context is a gift. Give it freely. 5. 𝐂𝐨𝐦𝐞 𝐰𝐢𝐭𝐡 𝐬𝐨𝐥𝐮𝐭𝐢𝐨𝐧𝐬 Early in my career, I brought problems to my manager. Now, I appreciate the people who bring potential paths forward. It’s not about having the perfect solution. It’s about showing you’re engaged in solving the problem. 6. 𝐊𝐧𝐨𝐰 𝐰𝐡𝐚𝐭 𝐭𝐡𝐞𝐲 𝐜𝐚𝐫𝐞 𝐚𝐛𝐨𝐮𝐭 Every leader is solving a different set of problems. Step into their shoes. Show how your work connects to what’s top of mind for them. This is how you build alignment and earn trust. 7. 𝐁𝐮𝐢𝐥𝐝 𝐜𝐨𝐧𝐧𝐞𝐜𝐭𝐢𝐨𝐧 Years ago, a founder cold emailed me. We didn’t know each other, but we were both Duke alums. That one point of connection turned a cold outreach into a real conversation. 8. 𝐃𝐫𝐢𝐯𝐞 𝐭𝐨 𝐜𝐥𝐚𝐫𝐢𝐭𝐲 𝐚𝐧𝐝 𝐝𝐞𝐜𝐢𝐬𝐢𝐨𝐧 Before you walk into a meeting, ask yourself what outcome you’re trying to drive. Wandering conversations erode credibility. Precision matters. So does preparation. 𝐅𝐢𝐧𝐚𝐥 𝐭𝐡𝐨𝐮𝐠𝐡𝐭 Executive presence isn’t about dominating a room or having all the answers. It’s about clarity, connection, and conviction. And like any muscle, it gets stronger with intentional practice.

    The quickest way to lose a decision in a global team is to speak the right language in the wrong culture. I’ve sat in too many “same page” meetings where everyone walked out convinced the other side didn’t get it. After 13 years in Europe and now in the US, I see the pattern repeat in global FMCG. With the UK, tone carries as much weight as content. “Interesting” often means “not convinced.” “Let’s park this” usually means “no.” Humor is a tool to lower the temperature before a tough point lands. You win the room by bringing a balanced case, letting stakeholders react, then following up quietly with crisp next steps. Corridor consensus matters as much as the meeting itself. With France, ideas come first. Leaders want a coherent narrative, the strategic why, and the principles that will hold under pressure. Debate is respect, not resistance. If the story is strong, the resources follow. Bring options framed as choices with consequences, show the thinking, and expect smart pushback. If you are allergic to intellectual challenge, you will misread the room. With Switzerland, preparation is the love language. A clear pre-read sent on time. Risks and mitigations listed. Owners named. If the governance is tight, speed is possible. Pilots are welcomed when guardrails are explicit, service levels protected, and the impact on partners is thought through. Precision builds trust, and trust unlocks tempo. The American instinct is to move. Ship a pilot, learn in market, fix in public. That energy is valuable, but it lands better when paired with the UK’s stakeholder rhythm, France’s clarity of thought, and Switzerland’s discipline on process. What I coach cross-border teams to do: agree the “decision dialect” before the meeting, are we greenlighting a concept or a finished plan. Share a one-page pre-read 48 hours ahead, problem, options, risks, owner, go or no go. Translate feedback into action, “interesting” equals add proof, “we need alignment” equals map the stakeholders, “gut feel” equals bring a data cut. Split speed from safety, pilot with tight guardrails while the bigger build earns its evidence. Mirror first, then lead. Speak the local operating code well enough to earn trust. Bring your own strengths once the room believes you understand theirs.     I've coached 400+ CEOs. The best ones don't communicate better. They communicate differently. While average leaders wing it, great ones use proven methods that turn conversations into opportunities. After 20+ years studying top performers, I've identified 7 communication systems that separate good from great. (Save this. You'll need it for your next big meeting.) 1. The 3 Levels of Listening Stop listening to reply. Start listening to understand. Level 1: You're thinking about your response Level 2: You're focused on their words Level 3: You're reading the room—energy, tone, silence One CEO used this to uncover why his top performer was really leaving. Saved a $10M account. 2. What? So What? Now What? Transform rambling updates into decisive action. What = The facts (30 seconds max) So What = Why it matters to the business Now What = The specific decision needed Cut meeting time by 40%. 3. PREP Method Never fumble another investor question. Point: Your answer in one sentence Reason: Why you believe it Example: Proof from your business Point: Reinforce your answer Practice this for 5 minutes daily. Sound prepared always. 4. RACI Matrix Kill confusion before it starts. Responsible: Who does the work Accountable: Who owns success/failure (only ONE person) Consulted: Who gives input Informed: Who needs updates Projects with clear RACI are 3x more likely to succeed. 5. Story of Self/Us/Now Move hearts, not just minds. Story of Self: Why YOU care (personal conviction) Story of Us: Our shared challenge Story of Now: The urgent choice we face This framework has helped politicians win. It'll help you raise capital or inspire your team to meet a big goal. 6. The Pyramid Principle Get board approval in half the time. Start with your recommendation Give 3 supporting arguments (max) Order by impact (strongest first) Data goes last, not first McKinsey consultants swear by this. So should you. 7. COIN Feedback Model Make tough conversations productive. Context: When and where it happened Observation: What you saw (facts only) Impact: The business consequence Next: Agreed action steps No more avoided conversations. No more resentment. Your next funding round, key hire, or major deal doesn't depend on working harder. It depends on communicating better. Because in the end, leadership isn't about having all the answers.
